Job Description:

About the Role:

We are seeking a Tax Administrative Assistant to join our Tax team based in our corporate office in Oak Brook, IL. The Tax Administrative Assistant provides administrative support to the Tax Department by helping organize documents, track deadlines, process routine paperwork, and assist with departmental tasks. This role supports the team with day-to-day administrative activities and requires strong organization, attention to detail, and the ability to manage multiple tasks.

You’ll add value to this role by performing various functions including, but not limited to:

Maintain the calendar of tax filing deadlines and monitor work in progress status.
Assistance gathering information necessary to file various returns.
Process tax payments in collaboration with Accounts Payable and Treasury.
Assist with filing, organizing, and maintaining documents to support efficient record retention and retrieval.
Coordinate mailing of tax returns and payments, including preparation and submission of certified USPS mailings.
Distribute reports to relevant stakeholders in a timely manner.
Facilitate communication between providers to ensure smooth operations.
Assist with scheduling meetings and managing calendars for team members.
Support various projects and initiatives as assigned by management, providing administrative assistance and coordination as needed.
Other assigned duties.

Important Details:

This is a full-time, hybrid schedule role based in Oak Brook, IL.
The anticipated compensation for this position ranges from $16.35 – $30.29 USD per hour. This is the lowest to highest pay we in good faith believe we would pay for this role at the time of this posting. An employee’s position within the pay range will be based on several factors including, but not limited to, specific competencies, relevant education, qualifications, certifications, experience, skills, seniority, geographic location, performance, shift, travel requirements, and business or organizational needs. For certain roles, the successful candidate may be eligible for annual discretionary merit compensation award or bonus.

High school diploma or equivalent; Associate degree in business administration or a related field is preferred.
Proven experience in an administrative or support role.
Strong organizational skills and attention to detail.
Proficiency in Microsoft Office and familiarity with office equipment.
Excellent communication skills, both written and verbal.
