Overview

Join a Mission-Driven Team

Prevention Education Program is seeking a friendly, organized, and dependable Receptionist / Office Assistant to serve as the first point of contact for participants entering our program. As the voice and face of our organization, you will create the first impression for every person who contacts or visits our office.

This is a high-volume phone and customer service position. Much of your day will be spent answering incoming calls, scheduling enrollment appointments, assisting participants, responding to emails, and ensuring every interaction is handled with professionalism, compassion, and efficiency. If you genuinely enjoy talking with people, communicating by phone and email, and helping others navigate services, you'll thrive in this role.

This position plays a vital role in creating a welcoming, supportive environment while ensuring the smooth day-to-day operation of our front office. Primary Responsibilities

Welcome participants and visitors with warmth and professionalism.
Answer and direct incoming phone calls.
Schedule enrollment appointments and other participant appointments.
Process participant payments accurately.
Maintain accurate electronic records using Compliance Manager.
Scan, file, and organize program documents.
Communicate with participants regarding appointments, payments, and program needs by phone, email, and in person.
Provide administrative support to the Program Manager and counseling staff.
Help maintain an organized, efficient, and professional front office.

Can confidently de-escalate frustrated or upset participants with empathy and professionalism.
Demonstrates excellent organizational skills and strong attention to detail.
Is dependable, adaptable, and eager to learn.
Communicates clearly and professionally with participants, coworkers, and community partners.
Maintains confidentiality and exercises sound judgment when handling sensitive information.

Preferred Qualifications

Previous receptionist, office assistant, administrative assistant, or customer service experience.
Strong computer skills and the ability to learn new software systems quickly.
Experience working with multiple phone lines and appointment scheduling.
Bilingual (English/Spanish) is a plus.
