About ICYO

Inner City Youth Opportunities (ICYO) is a Cincinnati nonprofit dedicated to providing youth in under-resourced communities with academic support, mentorship, and enriching experiences that foster growth, confidence, and opportunity.

We are seeking an organized, dependable, and people-oriented Administrative Assistant to join our Operations team and help keep our organization running smoothly.

About the Role

The Administrative Assistant serves as a central administrative resource for ICYO, providing support to organizational leadership and staff. This position is ideal for someone who enjoys keeping things organized, helping others, managing multiple priorities, and making sure the details don't fall through the cracks.

The Administrative Assistant reports to the Sr. Director of Operations and works closely with the Executive Director and Program Director.

What You'll Do

Provide day-to-day administrative support to ICYO leadership and staff.
Answer and route calls, emails, questions, and administrative requests.
Assist with scheduling, calendars, correspondence, and meeting coordination.
Prepare, scan, file, and organize documents and records.
Support data entry and electronic records management.
Maintain office supplies and help keep the office organized.
Assist with staff onboarding paperwork and other administrative HR processes.
Help coordinate internal communications and follow up on administrative requests and deadlines.
Support staff meetings, trainings, board meetings, fundraising events, and other organizational activities.
Handle confidential employee, participant, and organizational information appropriately.
Assist with other administrative and operational needs as assigned.

What We're Looking For

Required:

High school diploma or equivalent.
Previous administrative, office, customer service, or other relevant experience.
Strong organizational and time-management skills.
Strong written and verbal communication skills.
Basic proficiency with Microsoft Office and comfort learning new technology.
Ability to manage multiple priorities and follow through on tasks.
Professionalism, sound judgment, and the ability to maintain confidentiality.
Ability to pass required background checks.

Preferred:

Previous administrative or office support experience.
Experience in a nonprofit, education, youth-serving, or human services environment.
Experience with Microsoft Teams, SharePoint, electronic records, scheduling, or data entry.

The right person will be comfortable working independently, communicating with different personalities, and shifting between administrative tasks as the needs of a small nonprofit change throughout the day. Strong follow-through, good judgment, and the ability to communicate professionally about priorities and timelines are especially important.

Most importantly, we're looking for someone who cares about ICYO's mission and understands how strong behind-the-scenes operations contribute to opportunities for Cincinnati youth.

Position Details

Department: Operations
Reports To: Sr. Director of Operations
Schedule: Part-time, up to 20 hours per week, Monday–Thursday. Some flexibility is available in establishing the regular work schedule based on organizational and employee needs.
Compensation: $21.00/hour
Location: Cincinnati, Ohio; in-person

This position is eligible for ICYO's annual performance evaluation and merit-based compensation review process and offers opportunities for professional growth and internal advancement as the organization continues to grow.
