Job Summary
We are looking for a motivated and detail-oriented Accounts Receivable Assistant to help drive the accuracy and efficiency of our accounting operations. In this role, you will process payments, maintain customer account records, support collections efforts and assist the accounting department with billing concerns. Working within the Acumatica ERP system, you will manage accounts receivable transactions, monitor outstanding balances, and play an important role in month-end close activities and invoicing accuracy. Responsibilities:
· Process customer payments received via check, ACH, wire transfer, and credit card.
· Apply customer payments accurately in Acumatica.
· Generate and distribute customer invoices and account statements.
· Monitor outstanding balances and assist with collection efforts.
· Research, analyze, and resolve payment discrepancies, customer deductions, short payments, and billing issues; identify root causes and implement corrective actions to prevent recurrence.
· Reconcile customer accounts and maintain accurate records.
· Respond to customer inquiries regarding invoice status, payment concerns, and account balances, providing timely and accurate information to support account resolution.
· Review aging reports and escalate delinquent accounts as appropriate.
· Enter and maintain customer account information in Acumatica.
· Create invoices, credit memos, and customer adjustments.
· Review AR dashboards and reporting for accuracy.
· Assist with system data maintenance and record management.
· Support month-end and year-end closing activities related to accounts receivable.
· Prepare reports related to cash receipts, aging, and collections.
· Maintain organized electronic and physical accounting records.
· Assist with audits by providing supporting documentation.
· Collaborate with Customer Service, Sales, and Operations to resolve billing concerns.
· Perform other accounting and administrative duties as assigned
Work Availability:
· Must maintain regular and acceptable attendance at such a level as determined by
management.
Qualifications:
· High School Diploma required
· 2+ years business experience
· Experience with accounts receivable operations and a working knowledge of general accounting principles required
· Ability to research, compile, analyze and interpret data
· Ability to communicate clearly and professionally, both verbally and in writing
· Excellent customer service skills
· Required: Experience using Microsoft Office applications, with the ability to effectively utilize Microsoft Excel for data entry, reporting, and spreadsheet management.
· Highly motivated and capable of completing assignments accurately with limited oversight.
· Proficient data entry skills
· Maintains a high level of attention to detail while managing tasks accurately and efficiently.
· Experience with Acumatica ERP software a plus
Physical Demands:
While performing the duties of this job, the employee is frequently required to stand, walk; sit; use hands to finger, handle, or feel; and talk or hear; climb stairs and/or ladders. The employee is occasionally required to reach with hands and arms; climb or balance; and stoop, kneel, crouch, or crawl. The employee may frequently lift and/or move up to 10-25 pounds and occasionally lift and/or move up to 50 pounds. Specific vision abilities required by this job include close vision, distance vision, peripheral vision, depth perception, and ability to adjust focus.
Work Availability:
- This is full-time; 40 hour per week, in person position.
- Schedule: Monday through Friday 8:00am-5:00pm with a one-hour unpaid lunch.
