Job Title: Senior Student Services Specialist

Department:Student Services
Reports To:Director of Education & Student Services
Location:On-Campus / Hybrid (as applicable)

Position Summary

The Senior Student Services Advisor is an experienced student services professional responsible for proactively supporting student success, retention, and compliance in a health career college environment. This role requires demonstrated experience managing student caseloads, monitoring attendance and academic performance, addressing complex student concerns, and resolving complaints and grievances with professionalism and sound judgment. The Advisor serves as a key liaison among students, faculty, and internal departments to ensure timely communication, documentation, and issue resolution.

Key Responsibilities

Independently manage a student caseload, tracking attendance, academic progress, professionalism, and compliance with institutional and regulatory standards.
Conduct consistent and proactive daily follow-up with students regarding attendance, academic performance, and program expectations.
Identify, assess, and intervene with at-risk students using proven retention and student success strategies.
Address and resolve student complaints involving college policies, instructional concerns, faculty issues, and program expectations, exercising professional judgment and discretion.
Manage the intake, documentation, escalation, and resolution of formal student grievances in alignment with institutional policy and accreditation requirements.
Serve as a primary point of contact and conduit between students and internal departments, including Academic Affairs, Financial Aid, Compliance, Admissions, and Faculty.
Maintain thorough, accurate, and confidential student records, case notes, and communications in student information systems.
Interpret and clearly communicate institutional policies, procedures, and regulatory requirements to students.
Participate in retention initiatives, student success programming, and continuous improvement efforts.
Support internal audits, accreditation reviews, and regulatory inquiries by providing accurate documentation and reporting.
Model professionalism and uphold the mission, values, and standards of a health career education institution.

Required Qualifications

Minimum of 3–5 years of experiencein student services, advising, or case management in a postsecondary education environment.
Demonstrated experience handling student complaints, policy interpretation, and grievance processes.
Proven ability to work independently, prioritize competing demands, and manage sensitive situations effectively.
Strong written and verbal communication skills, including professional documentation and case notes.
Proficiency with student information systems, databases, and Microsoft Office or Google Workspace.
High level of discretion, confidentiality, and ethical judgment.

Preferred Qualifications

Bachelor’s degree required; Master’s degree preferred (Education, Higher Education Administration, Human Services, or related field).
Experience in a health career college, vocational school, or regulated postsecondary environment.
Familiarity with accreditation, attendance policies, and compliance standards specific to career education institutions.
Experience collaborating closely with faculty and academic leadership.
Bilingual skills (preferred, based on student population).
Experience using Orbund Student Information System (SIS) is a plus.
