Full Job Description

Specialized Recruiting Group has partnered with a growing manufacturing company in the City of Covina to identify an experienced Accounts Receivable / Customer Service Representative. This position is ideal for someone who enjoys working with customers while supporting the accounting team with accounts receivable, collections, cash applications, and account maintenance.

The ideal candidate is detail-oriented, customer-focused, and able to thrive in a fast-paced manufacturing environment while building strong relationships with customers and internal departments.

Pay $23.00- $26.00 DOE

Responsibilities

· Process customer payments, including checks, ACH, wire transfers, and credit card transactions, ensuring accuracy and timely posting.
· Apply cash receipts, reconcile customer accounts, and maintain accurate accounts receivable records.
· Monitor aging reports, follow up on outstanding balances, and perform collections while maintaining positive customer relationships.
· Research and resolve billing discrepancies, payment issues, deductions, short pays, and account inquiries.
· Prepare and process customer invoices, credit memos, and account adjustments.
· Assist with month-end closing activities, accounts receivable reporting, and account reconciliations.
· Maintain accurate customer files and ensure all account information is current within the ERP system.
· Serve as the primary point of contact for customer inquiries regarding orders, invoices, payments, account status, and product shipments.
· Provide professional customer service via phone and email, resolving issues promptly and courteously.
· Coordinate with the Sales, Shipping, Production, and Accounting departments to ensure timely order processing and issue resolution.
· Process customer orders, returns, credits, and related documentation accurately.
· Communicate order status, shipping updates, and payment information to customers.
· Build and maintain strong customer relationships through proactive communication and timely follow-up.
· Support the Accounting and Customer Service teams with additional administrative duties and special projects as assigned.

Qualifications

Minimum 3 years of Accounts Receivable and customer service experience, preferably in a manufacturing or distribution environment.
Strong understanding of accounts receivable processes, collections, cash applications, and account reconciliation.
Experience handling customer inquiries and resolving billing discrepancies.
Proficiency in Microsoft Excel and Microsoft Office Suite.
Experience with ERP/accounting systems (SAP, Microsoft Dynamics GP, Oracle, or similar preferred).
Excellent communication, organizational, and problem-solving skills.
Ability to prioritize multiple tasks and meet deadlines in a fast-paced environment.
High attention to detail with strong analytical skills.
Professional and customer-focused demeanor.
Bilingual English/Spanish is a plus.
