Client Care Coordinator

Arch Home Care Inc., dba Home Instead
St. Louis, MO

Position Summary

The Care Coordinator is a relationship-driven professional responsible for guiding families through the entire home care journey—from first inquiry to ongoing care in the home. This role combines compassionate sales and care coordination to help families understand their options and confidently choose the right support for their loved ones. The Care Coordinator conducts inquiry calls, meets with prospective clients, and supports families through the decision-making process with empathy, trust, and professionalism.

Once care is in place, this role continues to support the client relationship by ensuring satisfaction, addressing changing needs, and working closely with Care Professionals to maintain a high-quality care experience in every home.

Key Responsibilities

Respond to incoming inquiries and lead initial conversations with prospective clients and families
Conduct in-home visits with potential clients to assess needs, build trust, and present appropriate care solutions
Guide families through the decision-making process and confidently convert inquiries into active Home Instead clients
Develop and maintain strong, ongoing relationships with clients and families throughout the care journey
Support Care Professionals by communicating client needs, expectations, and updates clearly and consistently
Monitor client satisfaction and proactively address concerns to ensure a positive care experience
Partner with office team members to ensure smooth service delivery and continuity of care
Strengthen long-term relationships through regular follow-up, communication, and advocacy for client needs
Serve as a trusted point of contact for both clients and Care Professionals to ensure quality, dignity, and consistency in care

Core Focus

This role is centered on building meaningful relationships from the very first conversation through ongoing care. Success comes from the ability to connect with families, earn trust quickly, guide confident care decisions, and ensure every client feels supported, valued, and secure in their choice of Home Instead.

Secondary Responsibilities

Support internal coordination efforts to ensure timely and consistent service delivery
Maintain accurate and up-to-date client documentation and communication notes
Participate in team meetings, trainings, and care-related discussions to support continuous improvement
Collaborate with Care Professionals and office staff to address changes in client needs
Assist with follow-up communications to strengthen client satisfaction and retention
Perform other related duties as assigned to support the success of the team and clients

Essential Job Requirements

Ability to learn and effectively use office technology, online systems, and client documentation tools
Ability to lift, push, or pull up to 25 pounds as needed
Ability to perform physical movements such as bending, twisting, stooping, kneeling, and reaching
Possess a valid driver’s license or state-issued identification
Maintain valid auto insurance, if applicable
Ability to work in a variety of home environments and adapt to different living conditions
Ability to withstand exposure to dust, mold, mildew, and common household cleaning solutions
Ability to communicate with clients and families in a professional, friendly, and compassionate manner
Ability to treat clients and their property with dignity, respect, and care at all times

Qualifications

5 years experience in sales, healthcare, home care, or client relationship roles preferred
Strong ability to build trust, communicate clearly, and guide decision-making conversations
Comfortable conducting in-home client visits throughout St. Louis Area
Excellent listening, follow-up, and relationship-building skills
Ability to balance compassion with confidence in a sales-oriented role
Highly organized with strong attention to detail and follow-through
Passion for serving seniors and supporting Care Professionals

Work Schedule & Location

This is a full-time office-based position with a standard schedule of Monday through Friday, 8:30 AM – 4:30 PM. While primarily based in the office, this role includes travel throughout St. Louis Area to meet with prospective and current clients in their homes. This balance of office and field work supports strong relationship-building and personalized client care.
