Job Description: Contract Administrator - Foodservice Dealer

We are looking for a highly organized, detail-oriented Contract Administrator to support our project teams by managing contracts, subcontractor documentation, insurance requirements, deadlines, and other project-related administrative responsibilities.

The Contract Administrator will oversee the review and execution of various project contracts, focusing on ensuring that all terms—including costs, certificates of insurance, OCIP, certified payrolls, wage rates, and tax responsibilities—are aligned with our bid documents. This role requires a strong attention to detail, exceptional organizational skills, and proficiency in computer applications.

Key Responsibilities:

Contract Administration: Review, track, and maintain project contracts to ensure documentation is complete and aligned with company and project requirements.
Subcontractor & Insurance Documentation: Maintain current insurance certificates and required documentation for subcontractors and projects.
Project & Scope Coordination: Work with project teams to follow up on scope reviews, contract requirements, and outstanding documentation.
Contract Compliance: Help ensure project teams understand and meet contractual requirements, company procedures, and applicable safety requirements.
Risk Identification: Review contract terms for potential concerns, unusual requirements, or risks and communicate them to the appropriate team members.
Deadline Tracking: Monitor important contractual deadlines, documentation requirements, payment-related milestones, and other project commitments.
Lien Documentation: Coordinate lien releases and related paperwork, ensuring documentation is accurate, complete, and properly maintained.
Accounting Coordination: Partner with accounting and project teams to help ensure contract documentation supports accurate billing, payments, and financial reporting.
Document & Data Management: Maintain organized contract records, reports, and tracking tools using Microsoft Office and company systems.
Team Communication: Serve as a reliable point of coordination between project management, accounting, subcontractors, and other stakeholders.

What We're Looking For

Experience in contract administration, project administration, construction administration, or a similar role is preferred.
Experience in the foodservice equipment, construction, subcontracting, or project-based industry is a plus.
Strong attention to detail with the ability to identify missing information, inconsistencies, and potential issues.
Excellent organizational and time-management skills with the ability to manage multiple projects and deadlines simultaneously.
Strong written and verbal communication skills.
Comfortable working with contracts, financial documentation, insurance certificates, and other detailed project records.
Proficiency with Microsoft Office, particularly Excel, Outlook, and Word.
Ability to work collaboratively with project management, accounting, and other internal teams.
A proactive mindset—you follow up, ask questions, and make sure important details don't fall through the cracks.
