Full Job Description

Job Summary

We are seeking a dynamic and detail-oriented Bookkeeper/Administrative Assistant to join our team! This vital role combines financial management with administrative support, ensuring smooth daily operations and accurate record-keeping. You will be the backbone of our office, handling bookkeeping tasks, managing communications, and providing exceptional customer service. If you thrive in a fast-paced environment, possess strong organizational skills, and enjoy multitasking, this position is perfect for you! Your proactive approach and technical proficiency will help us maintain efficiency and professionalism at all times.

Must understand a construction company operational tempo, including bidding, scheduling and the permitting process.

Duties

Manage accounts receivable and payable using QuickBooks, ensuring accurate invoicing, expense tracking, and financial reconciliation
Maintain organized filing systems for financial documents, contracts, and correspondence
Manage scheduling labor and skilled workers.
Provide front desk support by greeting visitors, managing appointments, and directing inquiries
Support office management tasks such as calendar scheduling, data entry, and document proofreading
Prepare reports using Microsoft Office tools like Word and Excel, including spreadsheets for budgeting and tracking
Assist with client communication and customer service to ensure positive interactions and timely responses
Perform general clerical duties including filing, photocopying, and maintaining office supplies
Support personal assistant tasks such as calendar management and appointment coordination
Ensure efficient office operations through excellent organizational skills and attention to detail

Qualifications

Proven experience with bookkeeping software such as QuickBooks online and similar accounting tools
Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and productivity software
Excellent organizational skills with the ability to manage multiple priorities effectively
Previous office or administrative experience demonstrating clerical skills and customer support capabilities
Exceptional phone etiquette with experience handling multi-line phone systems and client communication
Bilingual abilities are a plus to serve diverse clients effectively
Strong typing skills with attention to accuracy for data entry and word processing tasks
Knowledge of office management procedures including filing systems, calendar management, and document proofreading
Ability to work independently while collaborating seamlessly within a team environment
