Overview
We are seeking an energetic and detail-oriented Childcare Administrative Assistant/Enrollment Specialist to join our dedicated team. In this vital role, you will manage the enrollment process, assist families with their needs, and support administrative functions that keep our academy running smoothly. Your enthusiasm and organizational skills will help create a welcoming atmosphere for families and ensure seamless operations.

This is a key front office position that will work closely with the Director, Assistant Director, families, staff, and potential new enrollments. The ideal candidate must be friendly, confident, detail oriented, and able to manage multiple responsibilities in a busy childcare setting.

This position is expected to begin late June.

Responsibilities

Serve as the primary point of contact for prospective and current families, providing excellent customer service and information about our programs
Greeting and assisting current and prospective families
Manage the enrollment process from initial inquiry through tours, follow ups, registration, including completing necessary paperwork and data entry
Coordinate scheduling of tours, interviews, and parent meetings to promote engagement and transparency
Maintaining strong, professional communication with parents and guardians
Maintain accurate records using Procare, ensuring compliance with licensing standards
Maintaining student files, health forms, immunization records, and enrollment documents
Support marketing efforts by promoting programs through community outreach, public speaking engagements, and social media channels
Assisting with classroom coverage, breaks, and daily center needs when required
Assist with daily administrative tasks such as answering phones, processing payments, and organizing files
Collaborate with teaching staff to facilitate smooth transitions for new students and support ongoing communication with families
Supporting daily scheduling, staff coverage, and center operations
Preparing forms, letters, signs, packets, and other administrative materials
Helping maintain a clean, organized, and professional front office area
Assisting with accident and incident documentation and parent communication
Supporting the Director and administrative team with additional tasks as needed

Requirements

Florida Director’s Credential required
CDA, FCCPC, or Formal Staff Credential required
CPR and First Aid certification required
Proven experience in education administration or working with children in a school or childcare setting
Strong organizational skills with attention to detail and accuracy in record keeping
Excellent communication skills, including public speaking abilities to engage with families and community members
Excellent customer service and interpersonal skills
Familiarity with Procare or other childcare management software programs, Microsoft Office, and basic office systems
Knowledge of recruiting strategies within educational environments is a plus
Ability to work effectively with students, parents, staff, and community partners in a fast-paced setting
Ability to work independently and stay on task
Reliable transportation
Must meet all DCF and employment requirements
Must be able to maintain professionalism, confidentiality, and a positive attitude
