Job Overview

Greater Detroit Heating and Cooling Company is seeking a reliable, organized, and detail-oriented Office Administrator/Clerical Assistant to join our team! This vital role ensures the smooth operation of daily office functions, providing exceptional support to our technicians and clients. You will be working in a primarily non-customer facing office setting as we are primarily a commercial HVAC company. You will manage multi-line phone systems, handle data entry tasks, and be taking on various administrative duties. If you are good at multitasking, possess excellent organizational skills, and enjoy working in a office setting, this opportunity is perfect for you! We are a family owned company providing a positive work environment where your skills in office management, bookkeeping, and customer service will be appreciated.

Responsibilities

Manage multi-line phone systems, directing calls efficiently and courteously while providing excellent customer support.
Handle incoming and outgoing correspondence, including emails, mailings, and filing of documents.
Maintain accurate records through data entry, filing systems, and document proofreading to ensure information integrity.
Support office management tasks such as calendar management, appointment scheduling, and organizing meetings.
Utilize software tools like Microsoft Office and Excel to prepare reports and spreadsheets.
Assist with bookkeeping duties using QuickBooks to track expenses and invoices.

Preferred Qualifications

Previous office or clerical experience required (HVAC or other service industry experience is a plus).
Experience managing a busy multi-line phone system.
Proficiency with Microsoft Word and Microsoft Excel.
Experience using QuickBooks is highly preferred.
Strong organizational skills and attention to detail.
Excellent verbal and written communication skills.
Ability to multitask, prioritize, and work independently in a fast-paced environment.
Dependable, professional, and team-oriented attitude.
