Bilingual (English & Spanish) Administrative Associate

Reports to: People Excellence Manager

Position Summary:

The Bilingual Administrative Associate provides management support to the President while assisting People Excellence with recruiting coordination and Operations Excellence with employee communication. This position serves as a key administrative resource, supporting Operations Excellence with field operations employees, coordinating candidate hiring processes, and supporting the President as his assistant. The ideal candidate is highly organized, detail-oriented, and professional.

Essential Responsibilities:

Administrative Support

Provide direct management support to the President.
Manage calendars, scheduling, correspondence, and general office administration.
Prepare reports, spreadsheets, and company documents.
Assist with special projects and other administrative duties as assigned.
Some QuickBooks processing of expenses and payments.

Recruiting & Candidate Coordination

Communicate with candidates throughout the hiring process.
Schedule interviews and coordinate interview logistics.
Coordinate candidate clearances, background checks, and requirement employment documentation to ensure candidates meet company and client requirements prior to beginning work.
monitor the status of candidate documentation and communicate updates as needed.
Maintain accurate recruiting and candidate records.

Employee Communication

Provide communication support for the field operations.
Communicate with employees regarding employment documentation, scheduling updates, payroll-related questions, and company communications.
Translate verbal and written communications between English and Spanish as needed.
Assist employees with administrative questions and direct operational matters.
Help facilitate clear communication between the office and field employees.

Required Qualifications

Fluent in English and Spanish (written and verbal).
Excellent written and verbal communication skills.
Strong organizational multitasking, and time management skills.
Microsoft Office (Word, Excel, Outlook) knowledge.
Ability to maintain confidentiality and handle sensitive information professionally.

Preferred Qualifications

Experience supporting recruiting or staffing activities.
Experience with administrative or office support.
Experience coordinating candidate documentation or employment clearances.
Experience working in a service, facilities management, or staffing environment.

Preferred Characteristics

Professional and dependable.
Strong interpersonal and customer service skills.
Self-motivated with the ability to work independently.
Adaptable and able to manage multiple priorities in a fast-paced environment.
Strong problem-solving and organizational abilities.
Comfortable interacting with employees at all levels of the organization.

Position Details:

Entry-level management support function 40 hours exempt.
$45k to $50k annual compensation to start based on capabilities.
401k eligibility with 4% employer matching compensation after 6 months of employment and employee is fully vested.
Eligible for company-paid health and related benefits.
