Overview

We are seeking a dynamic and highly organized Office Coordinator to join our team and ensure the smooth operation of our office environment. This vital role involves managing administrative tasks, coordinating schedules, working with patients, and some medical billing.. The ideal candidate will bring energy, professionalism, and a proactive attitude to foster an efficient and welcoming clinic. This paid position offers an exciting opportunity to develop your skills in office management, patient communication, and financial administration while contributing to a vibrant healthcare setting.

Duties

Manage daily office operations, including front desk responsibilities, multi-line phone systems, and greeting patients with professional phone etiquette
Oversee scheduling appointments, patient flow, and collectiing payments.
Data entry, auditing account information and uploading insurance claims.
Organize and mail monthly statements
Verify insurance, collect payments and provide superbills to patients.
Maintain accurate bookkeeping records, manage budgeting processes, and perform basic accounting tasks using accounting software and spreadsheets
Ensure compliance with office policies by managing filing systems, handling confidential information securely, and supporting office experience initiatives

Skills

Proven experience in office management or administrative roles with strong clerical skills
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) along with advanced spreadsheet skills for budgeting and financial tracking
Familiarity with medical software
Strong communication skills for client interaction, team collaboration, and vendor negotiations
Excellent organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment
Knowledge of human resources procedures including onboarding processes and handling confidential information sensitively
Technical proficiency in office equipment such as multi-line phones, fax machines, printers, and other office hardware
Experience in medical office management or similar environments is a plus but not required
Ability to handle multiple responsibilities including calendar management, filing systems, client communication, and front desk duties with professionalism
