Full Job Description

A well-established accounting and tax firm in Columbia, MD — recognized by Bloomberg Tax & Accounting and affiliated with several prestigious professional organizations — is seeking a detail-oriented Part-time Accounting & Tax Assistant to join our team. This is an in-office position offering a private workspace within a collaborative, positive environment and flexible scheduling.

Must be available to work IN-OFFICE: Monday, Wednesday, and Friday 9:30 AM – 2:00 PM
Hours Vary: 15–20 hours/week (non-tax season) | 20–40 hours/week (tax season)

***Final candidates will be required to complete a skills assessment to evaluate their technical knowledge, attention to detail, and ability to perform key responsibilities related to this position. A criminal and professional background check will also be conducted.

Position Overview

This client-facing role serves as the firm's first point of contact and requires a polished, professional individual with demonstrated integrity, exceptional attention to detail, and strong written and verbal communication skills. The Accounting & Tax Assistant will support the firm across four key areas: accounting operations, administrative functions, client services, and marketing and business development.

Qualifications

Associate's or bachelor’s degree in accounting, finance, or a related field preferred. Equivalent work experience in public or corporate accounting will be considered
3-5 years of proven experience in corporate, financial, or public accounting with familiarity in GAAP and working in a corporate office setting
1-2 years’ experience organizing tax documents and maintaining structured electronic filing systems
Solid understanding of debits & credits, journal entries, and general ledger reconciliation
Proficiency in accounting software such as QuickBooks, Yardi, or similar platforms
Experience with tax software such as Drake Tax, TaxSlayer, or ATX
Advanced proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and Adobe
Ability to perform detailed account analysis and reconcile accounts accurately under deadline pressure
Strong mathematical aptitude and meticulous attention to detail
Excellent written and verbal communication skills
Ability to work independently with minimal supervision as well as collaboratively within a team

Key Responsibilities

Accounting & Tax Operations

Directing the inflow and outflow of client information and documentation, including organizing client data and financial documents required for tax returns
Process payroll and schedule contractor payments
Assist with maintaining the general ledger by monthly preparing journal entries and applying payments to invoices
Perform data entry of tax documents into tax software, creating spreadsheets, importing data into QuickBooks
Calculate, report, and file monthly sales taxes for various states
Perform bookkeeping duties including bank and credit card reconciliations
Maintain accurate electronic and physical records with meticulous daily filing practicesClient Services & Communication
Serve as the primary point of contact for clients, responding professionally to inquiries via phone and in person
Maintain and update client and prospect databases, tracking leads, referrals, and follow-up activity
Communicate with clients regularly to streamline the bookkeeping and tax preparation process
Manage the inflow and outflow of client documentation and information
Assist with onboarding new clients, including preparation of welcome materials and engagement documents

Administrative Support

Draft, proofread, edit, and finalize documents including spreadsheets, engagement letters, emails, presentations, and business proposals
Manage and coordinate senior executive and office calendars
Handle billing, report generation, supply ordering, and creating SOPs to streamline the work process for the firm
Ensure all deadlines are met and deliverables are completed accurately and on time

Marketing & Business Development

Support the execution of marketing initiatives to increase brand awareness and attract new clients
Assist with email campaigns, newsletters, client announcements, and seasonal tax reminders
Create and schedule social media content; maintain the firm's website and Google Business Profile
Prepare marketing materials, presentations, flyers, and informational resources
Represent the firm professionally at networking and community events when required

Pay: $20.00 - $28.00 per hour
