Full Job Description

Cyberwoven is a full-service web, branding and marketing firm. Our team of 40+ marketers, designers, and developers create user experiences that are unique, intuitive, and seamlessly connected with the marketing and operating strategies of our clients.

**This is a hybrid position, with a minimum requirement of 50% in-office time in Columbia, South Carolina.**

Job Summary

We are seeking a dynamic and detail-oriented Accounting Operations Specialist to join our finance team. The Accounting Operations Specialist is responsible for supporting the day-to-day financial operations of multiple affiliated companies. This role manages accounts payable, accounts receivable, payroll processing, and general accounting activities while ensuring accuracy, compliance, and exceptional internal customer service.

Responsibilities

Accounts Payable

Process vendor invoices accurately and timely
Verify invoices, coding, approvals, and supporting documentation
Prepare weekly payment runs via ACH, check, or electronic payment.
Maintain vendor records, including W-9s and payment information.
Respond to vendor inquiries and resolve discrepancies.

Accounts Receivable

Generate and distribute client invoices.
Monitor outstanding balances and collections.
Apply customer payments and reconcile accounts.
Work with internal teams to resolve billing questions.
Maintain accurate customer account records.

Payroll Administration

Process payroll for multiple affiliated companies.
Review timesheets, PTO balances, deductions, garnishments, and benefit elections.
Ensure payroll is processed accurately and on schedule
Assist employees with payroll-related questions.
Coordinate payroll changes with Human Resources.
Support quarterly and year-end payroll reporting.

General Accounting

Perform bank and credit card reconciliations.
Prepare journal entries and maintain supporting documentation.
Assist with month-end and year-end closing activities.
Reconcile balance sheet accounts.
Maintain organized financial records and electronic files.
Support annual audits and tax preparation.

Administrative & Operational Support

Assist with maintaining accounting and administrative policies and procedures.
Recommend process improvements and automation opportunities.
Cross-train with other finance team members.
Support special projects as assigned.
Maintain confidentiality of sensitive financial and payroll information.

Experience

Associate degree in Accounting, Finance, Business Administration, or related field (or equivalent experience). Bachelor’s degree in accounting or finance preferred
2–5 years of accounting, bookkeeping, payroll, or related experience
Experience processing payroll
Experience working with multiple legal entities or companies
Experience with Accounts Payable and Accounts Receivable
Experience with QuickBooks
Experience working with Paychex
Strong proficiency in Microsoft Excel
Excellent attention to detail, organizational skills and time managemen
Ability to prioritize multiple tasks while meeting deadlines.
Strong written and verbal communication skills.
Ability to maintain confidentiality.
Strong analytical and problem-solving skills.
Ability to identify discrepancies and resolve issues proactively.
Comfortable learning new software and technology.
Ability to work independently while collaborating with cross-functional teams.

Pay: $50,000.00 - $60,000.00 per year
