Position Description:
Love Columbia is looking for a Welcome Coordinator to greet and assist all visitors, guests, and clients to the Love Columbia Center. The Welcome Coordinator serves as the initial face of Love Columbia for all who enter, including clients, volunteers, donors, and community partners, and plays an active role in ensuring a welcoming, well-organized, and responsive initial experience. This role will involve assisting individuals who are seeking Love Columbia’s services and programs, overseeing lobby volunteers, and general clerical and office tasks.

Requirements:
· High School diploma or a combination of relevant education and experience; 1-2 years of college education preferred.
· Office administration experience and skills
· Excellent computer skills including proficiency in Microsoft Office applications (Experience with databases preferred)
· Strong organizational skills and excellent time management.
· Good written and verbal communication.
· Self-directed and resourceful; able to think through non-routine situations and determine appropriate responses without step-by-step guidance.
· Able to work well independently and be productive.
· Customer service mindset and compassionate attitude toward those in need.
· Able to remain calm and composed in ambiguous or unpredictable situations, including interactions with individuals who are experiencing mental health concerns or in an agitated state.
· Able to read social cues and respond with appropriate warmth, patience, or directness depending on the visitor's needs and circumstances.
· Notices process gaps and is comfortable suggesting improvements to workflows or systems.
Essential Functions and Duties:
Visitor Welcome & Access
· Create a welcoming and dignified experience for all who enter Love Columbia, including clients, volunteers, donors, and community partners, while managing building access and ensuring individuals are appropriately identified and directed before entry.
· Follow established safety procedures and protocols to maintain a secure environment for visitors and staff.
· Assess visitor needs and exercise sound judgment to connect individuals to the appropriate staff, program, or community resource, including situations that fall outside standard protocols.
· Provide day-to-day guidance and support to lobby volunteers, ensuring consistent and coordinated visitor service
· Offer prayer and/or emotional support for individuals requesting services, as appropriate.
Communication & Information
· Answer incoming phone calls and respond to general email inquiries, routing to appropriate staff or programs and exercising judgment about urgency and follow-up.
· Maintain working knowledge of Love Columbia's programs, local community resources, and available public tools to effectively inform and direct visitors seeking assistance.
· Maintain and proactively update lobby handouts and resource materials. Coordinate with program staff and communications as needed.
· Communicate the Love Columbia mission to community members and partner organizations.
Office & Program Support
· Sort and distribute mail; receive forms and documents dropped off by clients and distribute to appropriate staff.
· Receive assistance requests as appropriate and enter into database.
· Monitor essentials closet inventory and coordinate with Community Engagement and Development staff to replenish items as needed.
· Identify recurring patterns or inefficiencies in front-desk workflows and communicate suggestions for improvement to the supervisor.
These duties are representative, but not all inclusive. Other duties may be assigned.
Work Environment
This position includes a includes a mix of office-based work and community-based activities, including meetings at program and partner sites. The employee may need to sit, stand, walk short distances, and travel between work locations. Occasional lifting up to 20 lbs may be required. Some evening or weekend hours are needed to accommodate program scheduling, typically once per month. Compensation and Benefits:
This is a full-time, benefits-eligible position. Compensation is commensurate with experience.
