Full Job Description

Overview
We are seeking an organized, detail-oriented, and compassionate Administrative Coordinator to join our team at Spring Harbor. This role is essential in ensuring the smooth operation of our office and supporting various administrative functions. The ideal candidate will possess strong communication skills, attention to detail, and the ability to manage multiple tasks efficiently. This position requires a blend of administrative expertise and customer service skills, making it a vital part of our organization. The successful candidate will provide administrative support to ensure smooth and efficient operations of the community and will collaborate with staff, residents, and families, and contribute to maintaining a welcoming and supportive environment for everyone.

Key Responsibilities:

Serve as the primary point of contact for residents, families, and staff, providing excellent customer service and ensuring all inquiries are handled in a timely and professional manner.

Maintain accurate and up-to-date records for residents, including personal information and emergency contacts.

Support the Executive Director with daily office operations, including answering phones, preparing reports, maintaining calendar and filing documents.

Manage inventory of office supplies and assist with ordering as needed.

Assist with managing resident billing and payments, ensuring records are accurate and up to date.

Maintain confidentiality of resident and staff information in compliance with HIPAA regulations.

Assist with special projects.

Duties

Manage and maintain calendars, scheduling appointments, meetings, and events for team members.
Provide front desk support, greeting visitors and managing incoming calls with professionalism.
Assist with resident inquiries, ensuring a high level of service and satisfaction.
Handle filing systems for documents, both physical and digital, ensuring easy retrieval and organization.

Skills

Strong organizational skills with the ability to prioritize tasks effectively.
Proficiency in calendar management to coordinate schedules seamlessly.
Experience in front desk operations or as a personal assistant is preferred.
Excellent data entry skills with attention to detail for maintaining accurate records.
Strong customer support skills to address inquiries professionally and efficiently.
