Job Overview
We are seeking a dynamic and organized Assistant/Receptionist to join our team! This vital role combines front desk responsibilities with administrative support, ensuring smooth daily operations and exceptional customer service. The ideal candidate will be energetic, detail-oriented, and possess excellent communication skills to create a welcoming environment for clients, visitors, and team members alike. Duties

Greet visitors and clients warmly, providing exceptional customer support and ensuring a positive first impression
Manage multi-line phone systems, answer inquiries promptly, and direct calls efficiently using proper phone etiquette
Handle front desk duties including scheduling appointments, managing mail, and maintaining visitor logs
Perform data entry tasks such as updating client records, maintaining filing systems, and processing paperwork with accuracy
Assist with calendar management and coordinate meetings or appointments using Google Workspace or Microsoft Office tools
Support office management tasks including filing, proofreading documents, and organizing office supplies
Utilize computer literacy skills to operate office software like QuickBooks, Word processing programs, and other administrative tools

Skills

Bilingual proficiency to communicate effectively with diverse clients and team members
Strong organizational skills with the ability to multitask efficiently in a fast-paced environment
Excellent customer service skills coupled with professional phone reception techniques
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
Experience with office management, clerical tasks, and data entry processes
Knowledge of multi-line phone systems and phone etiquette standards
Ability to handle bookkeeping responsibilities using QuickBooks or similar software
Demonstrated time management skills to prioritize tasks effectively
Previous personal assistant or administrative experience is highly desirable
Strong typing speed along with proofreading abilities for error-free documentation
