Full Job Description

Job Overview
We are seeking a highly dependable, organized and experienced Receptionist/Office Assistant for our Association Office. The ideal candidate will serve as the first point of contact for our members and visitors, providing exceptional customer service, general secretarial support, planning and hosting social events, maintaining the membership database and answering phones. This role requires strong communication skills, attention to detail, and the ability to multitask.

Responsibilities

Greet members and visitors warmly, ensuring a positive first impression.
Manage front desk operations, including answering phone calls and directing inquiries appropriately.
Perform clerical duties such as filing, data entry, and maintaining organized office records.
Assist with scheduling appointments and managing calendars for staff members.
Handle incoming and outgoing correspondence efficiently.
Maintain office supplies inventory and place orders as necessary.
Support office management tasks to ensure smooth daily operations.
Update the member database with new sales, resales, and address changes, ensuring timely and accurate entries.
Oversee the new member onboarding process, including preparing welcome letters, agreements, surveys and packet, and following up to confirm receipt.
Assist with real estate transactions by completing forms (e.g., PUD forms, insurance certificates, estoppel certificates).
Send annual assessment rate updates to realtors ad title companies.
Update the online Membership Directory.
Coordinate, plan and attend annual social events.
Assist clusters with social events and meetings.
Manage and update all social media channels and perform weekly website reviews.
Monitor and report REMC/Duke streetlight outages and wildlife calls.
Ensure seasonal meter start-ups and shut-downs with REMC.
Provide clerical support for Design Review.
Assist with member services, including issuing boat permits, boat rental reservations, lower-level reservations and pool passes when Marina staff are unavailable.
Assign and track annual dock rentals, including member communication and collecting payments.
Perform general office tasks and additional duties as assigned.

Requirements

Proven experience in an administrative or clerical role is preferred.
Strong computer literacy with proficiency in Microsoft Office applications (Word, Excel, Access and Power Point).
Excellent organizational skills with the ability to manage multiple tasks simultaneously.
Familiarity with social media platforms (e.g.,Facebook)
Effective communication skills, both verbal and written.
A proactive attitude with a commitment to providing exceptional service to members and colleagues.
