Full Job Description

Administrator Position Overview – Little Sprouts Early Child Care Education

At Little Sprouts Early Child Care Education, we are seeking a dynamic, highly organized, and dependable Administrator to join our growing team. This important leadership role is responsible for supporting daily center operations, maintaining compliance, assisting staff and families, and ensuring the center operates smoothly, professionally, and efficiently every day.

The ideal candidate is proactive, detail-oriented, trustworthy, and passionate about creating a safe, welcoming, and organized environment for children, families, and staff. This position requires strong leadership, excellent communication skills, multitasking ability, and the ability to work independently while maintaining high standards of professionalism and accountability.

Responsibilities

Manage front desk operations, including greeting families and visitors professionally
Answer and direct multi-line phone calls with excellent customer service and phone etiquette
Support enrollment processes, parent communication, and follow-up with prospective families
Maintain accurate records, data entry, attendance tracking, child and staff files, and compliance documentation
Assist with PFCC/Title 20 paperwork, verifications, and licensing requirements
Monitor center compliance including safety, ratios, incident reports, playground checks, food counts, and classroom documentation
Coordinate staff schedules, calendars, meetings, interviews, and training sessions
Support Step Up To Quality (SUTQ), Teaching Strategies GOLD, assessments, screenings, and parent conference tracking
Order office and classroom supplies and maintain organized inventory systems
Ensure office areas, classrooms, and common spaces remain clean, professional, and organized
Assist with bookkeeping, reports, filing systems, and administrative projects
Support staff accountability, professionalism, and daily operational needs
Help with center marketing, recruitment, family engagement, and community outreach
Maintain confidentiality and professionalism at all times

Qualifications & Skills

Strong computer literacy with proficiency in Microsoft Office Suite and Google Workspace
Excellent organizational and multitasking skills in a fast-paced environment
Strong communication and customer service skills
Professional phone etiquette and interpersonal skills
Experience with data entry, filing systems, scheduling, and office management
Ability to work independently with honesty, integrity, and accountability
Knowledge of child care licensing, PFCC/Title 20, Step Up To Quality, or child care administration is preferred
Experience in child care, medical, dental, school, or office administration is a plus
Strong attention to detail and ability to maintain accurate documentation
Reliable transportation and dependable attendance required
Ability to support staff, families, and center leadership professionally and respectfully
