Accounts Payable / Administrative Assistant

About Us:

Parks Drilling Co. is a leading foundation drilling contractor specializing in drilled shafts and flatwork foundations for the electrical market. With a proven track record in high-quality foundation solutions, we are expanding our expertise in below-grade substation construction to support major utility and infrastructure projects.

Job Summary:

The Accounts Payable / Administrative Assistant is responsible for processing vendor invoices, maintaining accurate financial records, supporting accounting functions, and providing general administrative support for 5 related companies. This position requires strong attention to detail, organizational skills, and the ability to manage multiple priorities in a fast-paced construction environment.

Key Responsibilities:

Accounts Payable

Review, verify, and enter vendor invoices into the accounting system.
Match invoices with purchase orders, contracts, and receiving documentation.
Prepare and process check runs, ACH payments, and credit card payments.
Reconcile vendor statements and resolve billing discrepancies.
Maintain vendor files, W-9s, certificates of insurance, and BWC certificates.
Monitor accounts payable aging and ensure timely payments.
Support annual insurance audits and provide requested documentation.
Tracking and managing the subcontract agreement process

Administrative Responsibilities

Answer and direct incoming phone calls.
Greet visitors and provide professional customer service.
Maintain office supplies and coordinate office purchases.
Organize, file, and maintain electronic and paper records.
Process incoming and outgoing mail.
Assist with scheduling meetings, travel arrangements, and company events.
Prepare correspondence, reports, and spreadsheets as needed.
Support management and accounting staff with special projects.
Create job folders and scan field documents when job is complete.

Qualifications & Experience:

High School Diploma or GED required.
5+ years of accounts payable or administrative experience preferred.
Construction industry experience preferred.
Experience with ComputerEase and Microsoft Office Suite.

Skills and Abilities

Strong attention to detail and accuracy.
Excellent organizational and time-management skills.
Proficiency in Microsoft Excel, Word, and Outlook.
Ability to maintain confidentiality.
Strong written and verbal communication skills.
Ability to prioritize tasks and meet deadlines.
Team-oriented with a positive and professional attitude.
Must be comfortable with technology and adaptable to procedure changes as technology continues to improve.
