Job Summary

We are seeking a dynamic and highly organized Administrative Assistant to join our team! In this vital role, you will serve as the backbone of our office operations, ensuring smooth daily functions and providing exceptional support to staff and clients alike. Your proactive approach, combined with strong technical skills and excellent communication abilities, will help foster an efficient, welcoming environment. Responsibilities

Manage front desk duties, including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette.
Perform data entry and maintain accurate records using spreadsheets, Microsoft Office, Google Workspace, and other productivity software.
Organize and file documents systematically, ensuring easy retrieval and confidentiality of sensitive information.
Schedule appointments, coordinate calendar management, and assist with event planning to optimize office productivity.
Provide customer service support by addressing client inquiries promptly via phone or email, ensuring positive communication experiences.
Oversee office management tasks such as supply ordering, equipment maintenance, and general administrative support.
Assist with bookkeeping tasks using QuickBooks or similar software to track expenses and manage basic financial records.

Qualifications

Proven experience in office management or administrative roles with strong clerical skills.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and data entry tools.
Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment.
Strong computer literacy and technical proficiency across various office equipment and software platforms.
Bilingual abilities are highly desirable to support diverse client interactions.
Prior experience as a receptionist or personal assistant is preferred; familiarity with medical or dental reception is a plus.
Demonstrated customer service skills with professional phone communication and proper phone etiquette.
