Full Job Description

POSITION SUMMARY
The Onboarding Specialist plays a critical role in ensuring new hires have a smooth transition into the company. This position is responsible for coordinating and facilitating the onboarding process, ensuring that new employees feel welcome, informed, and prepared to succeed in their roles. This position is 100% on-site.

PRIMARY RESPONSIBILITIES

Serve as the primary point of contact for new hires from the time of offer acceptance through their first weeks of employment.
Coordinate all onboarding logistics, including new hire paperwork, background checks, benefits enrollment, and IT setup.
Partner with hiring managers and department leaders to ensure onboarding plans are tailored to each new hire’s role.
Ensure compliance with all company policies and applicable employment laws throughout the onboarding process.
Maintain accurate onboarding records and regularly update onboarding checklists and documentation.
Collect feedback from new hires and recommend improvements to the onboarding process.
Support ongoing employee engagement initiatives and assist with other HR-related administrative tasks as needed.

Preserve and protect the privacy, confidentiality, and security of all medical records, proprietary information, and other confidential information relating to Beacon Specialized Living, its Individuals, Team Members, activities, and affiliates, in accordance with all applicable laws, especially HIPAA, and applicable contract terms.
Promote Beacon in a positive manner and lead by example by modeling the organization’s core values in everyday behavior.
Monitor and appropriately address employee gossip, harassment, favoritism, and other negative workplace behaviors to ensure a positive and productive work environment.
Understand how to appropriately approach and communicate with individuals at all levels of the organization.
Treat everyone with dignity and respect while responding appropriately to their needs.
Maintain and promote a safe community environment and workplace.
Apply Trauma-Informed Care principles by recognizing the presence of trauma symptoms and acknowledging the role trauma may play in an individual’s life.
Promote Trauma-Informed Care at all levels of the organization and help create a culture that is sensitive to the experiences and feelings of the Individuals we serve.
Follow Beacon’s policies, procedures, and manuals.
Cooperate with Beacon Specialized Living, Department of Human Services (DHS) staff, and any other regulatory body during inspections, investigations, or inquiries.
Perform other duties as assigned.

EDUCATION & QUALIFICATIONS

Bachelor’s degree in Human Resources, Business Administration, or a related field.
1–3 years of experience in onboarding, Human Resources, or a related administrative role.
Successful completion of a criminal background check.
Must possess a valid driver’s license.
Proficient in speaking, reading, and writing the English language.
Must be approved by applicable state, federal, and governmental entities to work within BSLS programs.
Ability to effectively use office equipment, including BSLS information technology systems.

SKILLS & ABILITIES

Ability to communicate and function effectively within an interdisciplinary team.
Strong computer skills and proficiency with various software programs and applications.
Excellent oral and written communication skills.
Experience with Human Resources Information Systems (HRIS) and Applicant Tracking Systems (ATS).
Ability to create professional employee communication materials.
Ability to work effectively with individuals at all levels of the organization.
Maintains a professional demeanor.
Demonstrated ability to multitask and manage competing priorities.
Ability to work independently with minimal daily supervision.

WORK ENVIRONMENT
Most job duties will be performed in an office environment.
