Job Overview
We are seeking a dynamic and highly organized Back Office Coordinator to serve as the welcoming face of our organization. This vital role involves managing back office operations, providing exceptional customer service, and ensuring smooth administrative workflows. The ideal candidate will possess strong communication skills, be proficient with office management tools, and thrive in a fast-paced environment. As a Back Office Coordinator, you will play a key role in creating a positive first impression and supporting daily office functions to keep our operations running seamlessly.

Duties

Greet visitors, clients, and staff with professionalism and warmth, ensuring a positive experience from the moment they arrive
Manage multi-line phone systems, directing calls accurately and efficiently while maintaining excellent phone etiquette
Handle all back desk responsibilities including check-outs, payments, appointments, and inquiries
Assist in scanning records into charts, perform data entry, and ensure all records are up-to-date and easily accessible
Support office management tasks such as calendar management, scheduling meetings, and coordinating appointments
Assist with patient referral coordination

Requirements

Proven experience in office administrative roles with strong clerical skills
Excellent customer service skills with the ability to handle inquiries professionally and courteously
Proficiency in computer literacy including Electronic Medical Records systems, Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry software
Strong organizational skills with the ability to multitask effectively in a busy environment
Experience with multi-line phone systems and phone etiquette is essential
Prior experience as a medical receptionist or personal assistant is advantageous
Ability to manage time efficiently, prioritize tasks, and maintain accuracy in proofreading and scheduling tasks
