Job Summary

We are seeking a motivated, detail-oriented Bookkeeper/Administrative Assistant to join our team. As a small, family-run concrete company, we take pride in delivering quality work while building lasting relationship with our customers. This vital role combines essential bookkeeping responsibilities with comprehensive administrative support to ensure smooth daily operations. The ideal candidate will be energetic, highly organized, and possess excellent communication skills, both written and verbal.

In this position you will manage accurate financial records, assist with accounts payable and receivable, handle client and team communications, and support a veriety of day-to-day office operations with enthusiasm and professionalism. This paid position offers an exciting opportunity to grow your bookkeeping and administrative skills while making a meaningful contribution to our close-knit team.

Duties

Maintain accurate financial records using QuickBooks, including invoicing, expense tracking, and bank reconciliations
Manage inbound/ outbound calls efficiently and professionally
Provide front desk support by greeting visitors, answering inquiries, and managing appointment scheduling
Handle data entry tasks with precision, ensuring all information is current and correctly filed in spreadsheets or databases
Support office management activities such as filing, organizing documents, and maintaining office supplies
Assist with client communication via phone, email, or in person to deliver excellent customer service and support
Proofread documents for accuracy and clarity while ensuring proper formatting and adherence to company standards

Qualifications

Proven experience with bookkeeping software such as QuickBooks is key!
Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook)
Excellent organizational skills with the ability to multitask effectively in a busy office environment
Previous office or administrative experience, including clerical tasks like filing and data entry
Exceptional customer service skills with professional phone etiquette and effective communication abilities
Bilingual capabilities are a plus to assist diverse client needs
Ability to manage calendars, schedule appointments, and coordinate meetings efficiently
Technical proficiency in productivity software along with strong typing skills for quick data entry
Attention to detail for proofreading documents and maintaining accurate records
