Overview:
The Process Improvement Strategist supports organizational efficiency by analyzing, documenting, and enhancing operational workflows. This role collaborates with cross‑functional stakeholders and associates to understand current processes, identify improvement opportunities, and design streamlined, scalable solutions, primarily using Smartsheet. The ideal candidate is detail‑oriented, curious, and eager to translate business needs into practical, user‑friendly systems.
Position Functions and Responsibilities:
- Meet with stakeholders and associates to document current workflows, pain points, and business requirements.
- Assisting senior members of the team with projects, conducting research, and compiling data/information as needed.
- Facilitate process mapping sessions to visualize existing procedures and identify opportunities for improvement.
- Analyze operational data to uncover inefficiencies, bottlenecks, and automation opportunities.
- Translate business needs into clear functional requirements for Smartsheet‑based solutions.
- Build and maintain Smartsheet solutions including sheets, reports, dashboards, forms, and automated workflows.
- Create scalable templates and standardized structures to support consistent process execution.
- Develop automated alerts, approval workflows, and data validation rules to reduce manual effort.
- Implement Smartsheet Control Center to support project intake, portfolio management, and solution governance.
- Integrate Smartsheet with other platforms using Data Shuttle, DataMesh, DataTable, or API‑based connectors.
- Redesign workflows to eliminate redundancies and improve clarity, efficiency, and accountability.
- Recommend best practices for process governance, documentation, and change management.
- Support the rollout of new processes and tools by preparing training materials and conducting user training sessions.
- Monitor solution performance and gather feedback to refine and enhance existing Smartsheet systems.
- Work directly with associates to understand their operational needs and guide them toward the most effective Smartsheet‑based solutions.
- Serve as a point of contact for Smartsheet‑related questions, troubleshooting, and enhancements.
- Assist with helpdesk tickets and address issues reported by any user or supported entity, ensuring timely resolution and clear communication.
- Collaborate with IT and operational teams to ensure solutions align with organizational standards.
- Assist in developing documentation such as SOPs, process maps, and user guides.
- Maintain data accuracy and integrity across Smartsheet environments.
- Build dashboards that visualize KPIs, project statuses, and operational metrics.
- Support governance efforts by managing permissions, access controls, and versioning.
- Participate in testing new Smartsheet features and recommending adoption strategies.
- Assist in creating intake forms and automated routing systems for requests, projects, or approvals.
- Help evaluate new Smartsheet add‑ons and any other tools or integrations that could enhance organizational efficiency.
· Assist with any additional special ad-hoc projects and/or requests as assigned by the department.
Required Qualifications and Skills:
· 2–5 years of experience in process improvement, operations, project coordination, or a related field.
· Familiarity with Smartsheet; Smartsheet certifications are a plus.
· Basic understanding of programming concepts and familiarity with Python or similar languages is a plus.
· Strong analytical and problem‑solving skills.
· Self-motivated and driven with ability to work independently within a collaborative work environment.
· Excellent communication skills, with the ability to translate technical concepts into user‑friendly language.
· Basic understanding of workflow automation and data visualization.
· Ability to manage multiple tasks and collaborate with diverse teams.
· Participates, and interacts professionally during meetings.
· Professional phone etiquette, appearance and demeanor.
Supervisory Responsibility:
· This position has no supervisory responsibilities (does require to take lead on projects).
Work Environment & Schedule:
· This is an on-site position in an office setting.
· Regular overtime is required and considered an essential function of the position.
· Occasional travel to business related events, offices and/or seminars is required.
