Job Overview
We are seeking a highly organized and detail-oriented Secretary to join our team. The ideal candidate will provide essential administrative support, ensuring smooth office operations and effective communication for an apartment complex. This role requires excellent multitasking abilities, strong computer skills, and a commitment to delivering exceptional customer service.

Duties

Manage front desk operations, greeting visitors and handling inquiries with professionalism.
Operate phone system to direct calls and take messages efficiently.
Maintain accurate filing systems for documents and records, ensuring easy retrieval of information.
Perform data entry tasks with precision, updating databases and maintaining records as needed.
Assist in calendar management, scheduling tours, and coordinating meetings for team members.
Provide customer support through effective communication, addressing tenant needs promptly and courteously.
Utilize Microsoft Office Suite and Google Workspace for document creation, spreadsheets, and presentations.
Proofread documents for accuracy and clarity before distribution or filing.
Collaborate with other corporate office to streamline office processes and improve occupancy.

Requirements

Previous office experience is required.
Proficiency in Microsoft Office applications (Word, Excel, PowerPoint) and Google Workspace.
Strong organizational skills with the ability to manage multiple tasks simultaneously.
Excellent typing skills with attention to detail for data entry tasks.
Bilingual candidates are encouraged to apply for enhanced communication capabilities.
Familiarity with front desk operations and phone etiquette is essential.
Experience in customer service or support roles is highly valued.
