We are seeking a highly organized, detail-oriented Finance & Operations Coordinator to support the financial, administrative, and operational functions of the Conservatory. This role serves as the primary internal coordinator for finance, payroll, human resources administration, tuition management, and day-to-day business operations. The position works closely with the Executive Director, staff, families, vendors, and CCM's outsourced accounting partner to ensure smooth and efficient operations.

Position Summary
The Finance & Operations Coordinator is responsible for coordinating key business functions that support the Conservatory's financial health and operational effectiveness. This role serves as a central point of contact for financial administration, payroll coordination, tuition billing and collections, human resources support, and administrative processes.
The successful candidate will be a proactive problem solver who enjoys working independently, managing multiple priorities, and supporting a collaborative team environment.
Reporting Relationship
Reports directly to the Executive Director
Works closely with CCM's outsourced accounting partner (eCratchit)
Collaborates with faculty, staff, families, vendors, and service providers
Key Responsibilities
- Financial Operations & Accounting Coordination
- Serve as the primary liaison with CCM's outsourced accounting partner
- Coordinate financial documentation, records, and information required for accounts payable, payroll, reconciliations, audits, and reporting
- Review invoices for coding, approval, and timely processing
- Monitor accounts payable activity and payment schedules
- Coordinate employee reimbursements and banking-related activities
- Maintain organized financial records and supporting documentation
- Assist with budget tracking and financial reporting needs
- Tuition & Accounts Receivable Management
- Fee collection, and payment tracking processes
- Maintain tuition management and billing systems
- Monitor outstanding balances and communicate professionally with families regarding payment matters
- Reconcile tuition records and prepare accounts receivable reports
- Support accurate financial recordkeeping related to student enrollment and payments
Payroll & Human Resources Administration
- Coordinate payroll information and submissions
- Maintain employee personnel files and confidential HR records
- Support onboarding and offboarding processes
- Assist with benefits administration and employee documentation
- Track compliance requirements, background checks, and employment records
- Support HR-related communications and administrative needs
Operations & Administrative Support
- Maintain effective administrative processes and internal controls
- Support leadership with operational reporting and special projects
- Coordinate administrative correspondence and regulatory filings
- Manage relationships with vendors and service providers as needed
- Identify opportunities to improve efficiency and streamline processes
- Assist with general business operations that support CCM's mission and growth
Qualifications
Required
- Minimum of 3 years of experience in office management, operations, bookkeeping, business administration, finance support, human resources administration, nonprofit administration, or a related field
- Strong proficiency in Microsoft Office, including Excel, Outlook, Word, and Teams
- Excellent organizational, analytical, and problem-solving skills
- High level of accuracy and attention to detail
- Strong written and verbal communication skills
- Ability to handle confidential and sensitive information with professionalism and discretion
- Ability to manage multiple priorities and work independently
Preferred
- Experience in a nonprofit organization, educational institution, or arts organization
- Experience working with outsourced accounting services
- Knowledge of accounts payable, accounts receivable, payroll coordination, budgeting, or bookkeeping processes
- Experience with tuition management, billing, or customer account administration
- Familiarity with accounting software, payroll systems, CRM databases, or HR information systems
- Interest in music, arts education, or community-based organizations
