Full Job Description

Job Title: Logistics Technician – Medication Management

Location: On-site (StayWell Health Center)
Reports To: Director of Operations

***Signing bonus of $1000 once you completed 90 days of employment.

Position Summary

The Logistics Technician is responsible for managing the receipt, storage, handling, tracking, and distribution of medications used in patient care in accordance with applicable federal and state regulatory requirements. This role ensures full compliance with Board of Pharmacy regulations, U.S. Food and Drug Administration (FDA) requirements, and 340B Drug Pricing Program compliance standards. The Logistics Technician maintains accurate inventory controls, temperature monitoring, chain-of-custody documentation, and audit-ready records to support regulatory compliance and safe medication management.

This position serves as a critical operational and compliance function supporting medication logistics workflows, ensuring that all medications are handled, stored, and documented in accordance with regulatory standards and organizational policies. The Logistics Technician collaborates closely with clinical staff, operations teams, pharmacies, and external vendors to ensure medications are managed safely, efficiently, and in full regulatory compliance.

Essential Duties and Responsibilities

Medication Receipt, Storage, and Handling

Receive and verify inbound medication shipments, including specialty and temperature-sensitive pharmaceuticals, ensuring accuracy, integrity, and compliance with storage requirements.
Ensure medications are stored in accordance with manufacturer labeling, FDA requirements, United States Pharmacopeia (USP) standards, and applicable Board of Pharmacy regulations.
Monitor and document environmental storage conditions, including temperature logs for refrigerated and controlled room temperature storage.
Maintain secure storage of medications, including controlled access, proper segregation, and physical security measures consistent with regulatory requirements.
Manage medication chain-of-custody documentation from receipt through dispensing or transfer to authorized clinical personnel.

Inventory Management and Documentation

Maintain accurate, real-time inventory records for all medications received, stored, and distributed onsite.
Track medication movement, including receipt, storage location, transfer, and administration or disposition.
Conduct routine inventory reconciliation to ensure alignment between physical inventory and electronic records.
Monitor medication expiration dates and coordinate removal, quarantine, or disposal of expired or compromised medications in accordance with regulatory guidelines.
Assist in maintaining inventory controls to prevent loss, diversion, or improper handling.

Regulatory Compliance and Audit Readiness

Ensure all medication management activities comply with applicable Board of Pharmacy regulations, FDA requirements, USP standards, and 340B Drug Pricing Program requirements.
Maintain audit-ready documentation to support internal audits, regulatory inspections, and external compliance reviews.
Support regulatory inspections and audits by providing accurate records, documentation, and operational support as needed.
Ensure proper documentation and handling of temperature excursions, product quarantines, and other compliance-related events.
Adhere to organizational policies and procedures governing medication management, compliance, and patient safety.

Shipment Coordination and Logistics

Coordinate outbound medication shipments in accordance with validated cold chain and shipping protocols when applicable.
Ensure proper packaging, labeling, and documentation of medications during transport.
Track shipments and resolve delivery issues in coordination with vendors, couriers, and internal teams.
Maintain documentation supporting shipment validation and compliance with regulatory and manufacturer requirements.

Data Entry, Systems Management, and Operational Support

Perform accurate and timely data entry related to medication receipt, inventory, shipment tracking, and compliance documentation.
Maintain electronic and physical records in compliance with organizational policies and regulatory requirements.
Collaborate with operations, clinical, pharmacy, and compliance teams to support medication management workflows.
Participate in training and ongoing education related to regulatory requirements, medication handling standards, and compliance practices.

Qualifications

Required Qualifications

High school diploma or equivalent.
Strong attention to detail and organizational skills.
Ability to maintain accurate records and documentation in compliance-driven environments.
Ability to follow established procedures and regulatory requirements consistently.
Strong computer skills, including proficiency with Microsoft Office applications and ability to learn inventory and logistics management systems.
Ability to handle sensitive and confidential information in accordance with privacy and compliance requirements.
Prior experience in healthcare, pharmacy operations, logistics, or regulated inventory management.
Familiarity with Board of Pharmacy regulations, FDA medication handling requirements, or 340B Drug Pricing Program compliance.
Experience managing temperature-sensitive or specialty pharmaceutical products.
Experience supporting audit preparation or regulatory compliance activities.

Knowledge, Skills, and Abilities

Knowledge of regulated medication handling and storage practices.
Ability to maintain compliance with regulatory standards and organizational policies.
Strong attention to detail with a focus on accuracy and compliance.
Ability to work independently and as part of a multidisciplinary team.
Effective written and verbal communication skills.
Ability to manage multiple tasks and priorities in a regulated operational environment.

Compliance Responsibilities

This position plays a direct role in maintaining regulatory compliance with applicable Board of Pharmacy regulations, FDA requirements, and 340B Drug Pricing Program requirements. The Logistics Technician is expected to adhere to all organizational compliance policies and support audit readiness and regulatory inspection activities as required.
