Summary

Advanced TelePsych and Northeast Neuropsychology are seeking a detail-oriented, organized, and customer-focused Medical Office Scheduler to join our growing behavioral health and neuropsychology practice.

The Medical Office Scheduler plays a vital role in coordinating patient appointments from initial referral through scheduling and appointment preparation. This position ensures patients are scheduled accurately based on provider specialty, insurance requirements, and clinical needs while delivering an exceptional patient experience. The ideal candidate thrives in a fast-paced healthcare environment, enjoys helping patients, and has strong organizational and communication skills.

Key Responsibilities Scheduling & Patient Coordination

Schedule new and established patient appointments accurately and efficiently.
Contact referred patients promptly to coordinate appointments.
Match patients with the appropriate provider based on clinical services, provider specialty, and insurance participation.
Educate patients on appointment expectations, including visit length, location, telehealth requirements, testing procedures, and financial responsibilities.
Send required intake paperwork through the patient portal, email, or mail.
Maintain provider and technician schedules, including approved time off, schedule changes, cancellations, and blocked time.
Manage appointment confirmations, reminder calls, rescheduling, and cancellations.
Assist patients with accessing the patient portal, completing required forms, and connecting to telehealth appointments when needed.

Patient Registration & Insurance

Register new patients and update demographic, insurance, and contact information within the electronic medical record (EMR).
Verify active insurance coverage and identify referral or authorization requirements when applicable.
Obtain photo identification, insurance cards, referrals, and completed registration paperwork prior to appointments.
Collect copayments, deductibles, coinsurance, and other patient balances in accordance with office policies.
Scan and upload patient documentation into the EMR while maintaining accurate patient records.

Administrative Support

Answer incoming calls and respond to voicemail messages professionally and promptly.
Monitor email, patient portal messages, EMR tasks, and internal communication platforms throughout the workday.
Process referrals and route messages, documentation, and tasks to providers and administrative staff as appropriate.
Document patient interactions accurately within the EMR.
Provide front desk coverage and administrative support as needed.
Maintain compliance with HIPAA, organizational policies, and established scheduling procedures.
Meet departmental productivity, quality, and customer service expectations.
Perform other administrative duties as assigned.

Qualifications Required

High school diploma or equivalent.
One or more years of experience in medical scheduling, patient access, medical reception, or a healthcare administrative role.
Excellent customer service and professional telephone etiquette.
Strong verbal and written communication skills.
Exceptional organizational skills with strong attention to detail.
Ability to manage multiple priorities and work effectively in a fast-paced environment.
Proficiency with Google Workspace (Gmail, Calendar, Drive, Docs, and Chat) or Microsoft Office.
Ability to learn and effectively use electronic medical record (EMR) systems and telehealth platforms.
Ability to work independently while contributing to a collaborative team environment.
Commitment to maintaining HIPAA compliance and patient confidentiality.

Preferred

Experience working in behavioral health, psychology, neuropsychology, or another healthcare specialty.
Experience with electronic medical record (EMR) systems and patient scheduling software.
Familiarity with insurance verification, referrals, prior authorizations, and medical terminology.

Compensation & Benefits

Position: Full-Time, Exempt

Compensation:

$44,000-$48,000 annually, based on experience

Schedule:

40 hours per week
Hybrid work environment (after successful training and based on business needs)
