Full Job Description

Job Overview
We are seeking a detail-oriented and organized Payroll and Accounts Payable Administrator to join our finance team. The ideal candidate will be responsible for managing the Church’s accounts payable functions, ensuring timely and accurate processing of invoices, processing payroll and managing employee benefits, and maintaining financial records. This role requires a strong understanding of accounting principles and proficiency in relevant software systems.

Duties

Process payroll payments, ensuring timely payments to employees. Manage amounts withheld for employee benefits, garnishments, and taxes.
Ensure compliance with governmental accounting standards and reporting requirements, especially those related to payroll taxes. Prepare and issue quarterly 941 reports, and annual W2 and 1099 statements.
Maintain personnel files and employee benefits records. Facilitate benefit enrollment process. Reconcile employee benefit invoices. Record approved personnel changes in applicable systems.
Process and verify vendor invoices for payment, ensuring accuracy and compliance with Church policies.
Perform account reconciliations to ensure that all transactions are recorded correctly.
Maintain general ledger accuracy by posting entries related to accounts payable and payroll, and other monthly transactions.
Utilize ShelbyFinancials for tracking and managing accounts payable transactions.
Collaborate with the Executive Team to resolve any discrepancies related to employee expenses or reimbursements.
Assist employees, program directors, and parishioners with finance inquiries. Research to provide financial detail as appropriate. Prepare monthly financial reports using Excel templates.

Qualifications

Proven experience in accounting roles with responsibility for payroll processing and benefit management.
Strong understanding of double entry bookkeeping principles and general ledger accounting.
Excellent attention to detail and organizational skills.
Thorough understanding of payroll tax withholding and remittance processes, and reporting requirements.
Proficiency in the use of Microsoft Excel, including features such as formulas and pivot tables.
Ability to learn new processes and computer programs quickly.
A degree in Accounting, Finance, or a related field is preferred but not required.

Ideal candidates will have at least 3 years of experience in:

Payroll processing
Employee benefit management
Federal and state payroll tax reporting
Accounts payable processing
General ledger reconciliations
