POSITION OVERVIEW

We are looking for an Executive Assistant to provide high-level administrative, organizational, and personal support to the Director of Operations, helping her stay focused, prepared, and efficient as she leads the firm's operations and continues to grow the business. This role also serves as a true right hand outside the office, owning the personal logistics that keep daily life running smoothly.

RESPONSIBILITIES

Communication

Serve as the Director of Operations' primary point of contact, managing daily communication on her behalf and prioritizing what requires her attention.
Maintain and organize her inboxes (email, texts, voicemails, DMs), ensuring timely follow-up and clear communication.
Manage inbox prioritization across both business and personal accounts, flagging what needs her attention first.
Draft, proof, and send correspondence on her behalf, maintaining tone and professionalism consistent with the brand.
Organize, prepare for, and follow up on meetings, capturing notes, action items, and ensuring next steps are completed.
Handle confidential information with discretion and professionalism at all times.

Scheduling & Coordination

Own the Director of Operations' calendar and scheduling, both professional and personal, with thoughtful attention to priorities and balance.
Coordinate travel arrangements, business appointments, and client meetings — planning logistics, accommodations, and itineraries.
Manage personal logistics including appointments, kids' schedules, and reservations.
Anticipate scheduling conflicts and provide proactive solutions.
Ensure she is fully prepared for meetings, events, and appointments with relevant materials and details in advance.
Drive and accompany the Director of Operations to appointments, events, and client meetings, assisting with coordination and providing proactive support throughout.

Operational & Project Support

Step in and manage coordinating communication and deliverables between the Director of Operations and internal teams or external partners.
Track key deadlines and ensure she stays aligned with ongoing commitments and priorities.
Support the Director of Operations with administrative and organizational tasks that keep operations running smoothly.
Help prepare presentations, materials, and documentation for client or firm initiatives as needed.
Coordinate errands, including pick up/drop off of kids, groceries, meal planning, and laundry.

REQUIREMENTS

5+ years of experience in executive or administrative support
Exceptional organizational and time-management skills; able to balance multiple priorities.
Strong written and verbal communication; comfortable corresponding on behalf of leadership.
High emotional intelligence and professionalism when managing confidential matters.
Tech-savvy with strong proficiency in Microsoft Office, Google Suite, and project/calendar tools.
Flexible, proactive, and comfortable in a fast-paced, evolving environment.
Valid driver's license and ability to lift up to 50 lbs (occasional errands or event prep may be required).
Experience working in a high-change, fast-growth environment.
Highly proactive — not task-based; anticipates needs rather than waiting to be asked.
