Full Job Description

Position: Development and Communication Coordinator

Company: Community Emergency Assistance Programs (CEAP)

Status: Full Time

Salary: $50,000 - $55,000 commensurate with experience

Summary: CEAP mobilizes resources, shares abundance, and nourishes neighbors to create and celebrate a healthier, stronger, and more connected community. The Development and Communication Coordinator sits on the Development and Community Engagement team, which is responsible for raising private support from individuals, corporations, foundations and faith communities to support CEAP programs and carry out CEAP’s mission.

Development and Communication Coordinator will execute marketing and communications deliverables, in accordance with the communications plan. They will be responsible for the content and upkeep of CEAP’s website and social media, and will implement annual giving campaigns and communications via email and direct mail. Additionally, they will support community engagement initiatives, including food and fund drives, through direct communication and coordination with community partners.

This position will also work to maintain the Development team CRM, including data entry, imports, list pulls, and implementing automations and processes to support the cultivation, solicitation and stewardship of all levels of donors. They will be responsible for the accurate, appropriate, and timely processing and acknowledgement of contributions, and responding to donor questions and requests both in phone and email.

This position reports to the Director of Development and Community Engagement and works collaboratively with other team members.

Major Responsibilities & Activities:

Communications and Administrative Support:

Execute the day-to-day implementation of CEAPS’ communications strategy with direction from the Director of Development and Community Engagement, including developing and managing a communications calendar.
Serve as the organization’s social media lead, managing strategy, content creation, scheduling, and audience growth.
Maintain CEAPS’ website content and execute updates to improve online presence.
Support storytelling at CEAP by gathering quotes, testimonials, photos, and videos.
Serve as project manager for communications materials including newsletters, brochures, reports, invitations, and event collateral; coordinate with vendors, designers, printers, and writers as needed.
As needed, provide support to CEAP President and other staff for communications and administrative projects, including organizational signage, brochures, and printing.
Collaborate closely with the broader Development and Community Engagement team to ensure messaging continuity and alignment across all fundraising and engagement efforts.
Serve as a professional representative and a diplomatic spokesperson for CEAP as needed. Assist with tours, visitor engagement, internal events, and cross-departmental projects as needed.
Serve as backup for the reception and front desk as needed.

Development and Community Engagement:

Support the planning, writing, design, and execution of annual giving campaigns, including direct mail and email appeals throughout the year.
Support community outreach efforts to small businesses, civic organizations, schools, and faith communities to raise awareness of CEAP and generate engagement.
Support coordination of food and fund drives in partnership with individuals and community groups; provide ongoing support and stewardship to drive participants and coordinate logistics with CEAP Development, Program and Operations teams.
Maintain the fundraising database according to data entry guidelines, including ensuring accurate data entry, updating constituent and gift records, importing volunteer data, and pulling lists for mailings, emails and events.
Assist the Director of Development and Community Engagement with the creation of and updates to Development team policies and Standard Operating Procedures. Ensure that these policies and SOPs are followed in day-to-day operations.
Coordinate donor acknowledgments, both through mail and email; Implement a year-round stewardship plan to thank, recognize, and engage donors.
Provide excellent customer service and stewardship to donors, responding to all inquiries with accurate and appropriate information. This includes, but is not limited to, responding to donor questions about gifts and receipts, updating donor record information, and transferring calls and emails as appropriate.
Conduct business ethically and with integrity and demonstrate respect for fellow colleagues.

Essential Knowledge, Abilities & Skills:

A degree in communications, marketing, or related field
1-2 years of experience in nonprofit fundraising, marketing or communications and/or customer service preferred.
Strong organizational skills
Must be a self-directed and detail oriented
Problem solving ability, curiosity and a desire to learn new skills
Excellent written, verbal and interpersonal communication skills. Must be comfortable communicating directly with CEAP donors, volunteers, and community partners.
Able to work within a diverse community
Must be able to work with Windows and Microsoft Office software
Experience with Adobe and In-Design is desired
Experience using CRM or donor databases and ability to maintain electronic donor and prospect files preferred.
