Full Job Description

JOB TITLE: Accounting and Office Coordinator

SUMMARY: Plays a critical role in ensuring the efficient operation of the office by managing daily administrative tasks, coordinating office activities, and supporting staff and leadership. Responsible for supporting accounts payable and leasing operations, including processing payments and invoices, supporting regulatory tasks, and providing backup coverage and project support across multiple departments.

DUTIES AND RESPONSIBILITIES:

Greets and assists visitors in a professional and friendly manner, serving as the first point of contact and ensuring a positive front-office experience.
Creates tenant invoices, processes tenant payments, ensures invoice accuracy, and reconciles invoices to lease agreements; assists with managing leasing agreements and serves as a point of contact for tenants.
Deposits and posts manual checks in a timely manner with accurate coding; prints and mails payment receipts.
Supports Accounts Payable activities, including scanning documents, mailing checks, and processing related administrative tasks.
Reviews vendor records for TIN matching and prepares, distributes, and files annual 1099 forms.
Prepares and mails unclaimed property letters in support of the escheatment process.
Provides backup coverage for accounting team members during absences or peak periods.
Oversees office supply inventory and coordinates with vendors and contractors to support smooth daily operations.
Manages and schedules service providers for routine services and repairs (e.g., pest control, fire extinguishers, HVAC).
Sorts and distributes incoming mail, processes outgoing mail, and coordinates package shipments; provides backup coverage for mail duties as needed.
Performs general clerical duties, including filing, copying, scanning, and mailing.
Assists the HR Department with coordinating monthly office birthdays, supporting company events, office initiatives, shipping requests, and basic reporting.
Assists with planning, setup, and execution of company-sponsored events and office activities.
Develops and maintains organizational systems to improve office workflow and efficiency.
Completes miscellaneous projects and performs additional duties as assigned by management.

QUALIFICATIONS:

Minimum of three (3) years of experience in an office or administrative environment.
Two (2) years of accounts payable experience preferred.
Proven ability to manage multiple priorities, meet deadlines, and maintain strong attention to detail.
Demonstrated ability to maintain confidentiality and handle sensitive information with discretion.
Intermediate proficiency in Microsoft Office applications (Outlook, Word, Excel).
Experience with accounting or ERP systems preferred.
Strong problem-solving skills with the ability to work independently and collaboratively as part of a team.
Ability to work onsite five (5) days per week, Monday through Friday.
One (1) year of insurance-related experience preferred.
High school diploma, GED, or equivalent required.
