Legal Assistant

Job Summary

The Legal Assistant serves as a primary point of contact for clients and plays an essential role in supporting the daily operations of the firm. This position is responsible for assisting with incoming calls, emails, online inquiries, and walk-in clients while providing exceptional customer service. The Legal Assistant gathers information from prospective clients, schedules client appointments, welcomes clients to the office, coordinates in-person and virtual meetings, maintains accurate client records within the firm's CRM and case management system, and assists attorneys and staff with preparing, scanning, and printing. The ideal candidate is professional, organized, detail-oriented, and comfortable communicating with clients by phone, email, and in person.

Responsibilities

Assist with the meeting preparation, printing, scanning, and filing of legal documents.
Answer and direct incoming phone calls, emails, and online inquiries in a professional and courteous manner.
Utilize legal CRM to gather relevant information from prospective clients regarding their legal needs and accurately document intake details, schedule consultations and appointments for new and existing clients.
Welcome clients and visitors to the office and coordinate conference room meetings and virtual appointments.
Maintain accurate client records, calendars, appointments, and communications using the firm's CRM and case management software.
Support attorneys and staff with general administrative duties, including document management, correspondence, and office organization.
Provide outstanding client service while maintaining confidentiality and professionalism.
Order and maintain office supplies and assist with other administrative tasks as needed.

Qualifications

Previous experience as a Legal Assistant, Receptionist, Administrative Assistant, or in a similar office environment preferred.
Professional appearance and demeanor with excellent customer service skills.
Strong verbal and written communication skills.
Excellent telephone etiquette and interpersonal skills.
Ability to communicate clearly and effectively with clients, attorneys, court personnel, and team members.
Ability to quickly learn and utilize the firm's CRM and legal case management software.
Demonstrated empathy and professionalism when working with clients experiencing sensitive or challenging legal matters.
Strong organizational skills with the ability to prioritize tasks and manage multiple responsibilities in a fast-paced environment.
Excellent attention to detail and accuracy.
Strong problem-solving and critical-thinking abilities.
Proficiency with Microsoft Outlook, Word, Excel, PowerPoint, and Teams.
Excellent grammar, proofreading, and business writing skills.
Ability to prepare professional correspondence using proper grammar, punctuation, and formatting.
