Job Overview
Payroll Coordinator

Position Summary
The Payroll Coordinator is responsible for supporting the accurate and timely processing of payroll for temporary and internal employees. This role ensures compliance with federal, state, and local payroll regulations while maintaining payroll records, resolving discrepancies, and providing exceptional customer service to employees and internal departments. The ideal candidate is detail-oriented, organized, and able to thrive in a fast-paced staffing environment.

Key Responsibilities

Process weekly, biweekly, or monthly payroll for temporary employees accurately and on schedule.
Review payroll data, including hours worked, pay rates, deductions, bonuses, and reimbursements, ensuring accuracy before processing.
Maintain and update employee payroll records, tax forms, direct deposit information, and other payroll-related documentation.
Partner with Human Resources, Operations, and Finance to ensure employee information is accurate and current.
Investigate and resolve payroll discrepancies, missing timecards, and employee payroll inquiries promptly and professionally.
Prepare payroll reports and assist with payroll tax filings, audits, and compliance reporting.
Ensure compliance with federal, state, and local wage and hour laws, payroll tax regulations, garnishments, and benefit deductions.
Assist with year-end payroll activities, including W-2 processing and payroll reconciliations.
Support process improvements that enhance payroll efficiency, accuracy, and compliance.
Maintain strict confidentiality of employee payroll and personnel information.
Provide excellent customer service by responding to employee questions regarding pay, taxes, deductions, and direct deposits.
Perform other duties and special projects as assigned.

Qualifications

Associate's or Bachelor's degree in Accounting, Finance, Human Resources, Business Administration, or a related field preferred; equivalent payroll experience will be considered.
Minimum of 2 years of payroll processing experience, preferably within a staffing, recruiting, or high-volume payroll environment.
Knowledge of payroll laws, tax regulations, wage and hour compliance, and payroll best practices.
Experience using payroll software such as TempWorks, QuickBooks, Coats, or similar payroll systems.
Proficiency in Microsoft Excel and other Microsoft Office applications.
Strong attention to detail with excellent organizational and time-management skills.
Ability to manage multiple priorities and meet strict payroll deadlines.
Strong analytical, problem-solving, and communication skills.
Ability to maintain confidentiality and exercise discretion when handling sensitive information.
Bilingual Spanish required.

Preferred Qualifications

Experience processing multi-state payroll.
Familiarity with HRIS and applicant tracking systems.
Certified Payroll Professional (CPP) certification is a plus but not required.
Previous experience in the staffing, temporary employment, or workforce solutions industry is preferred.
