Job Summary

We are seeking a dynamic and friendly Front Desk Receptionist/Office Assistant to be the welcoming face and organizational backbone of our office. This role offers an exciting opportunity to manage front-desk operations, support administrative functions, and ensure smooth daily operations. The ideal candidate will be energetic, highly organized, and possess excellent communication skills, with the ability to handle multiple tasks efficiently while providing exceptional customer service. Bilingual abilities are a plus, enabling effective communication with diverse patients and visitors. This paid position is perfect for someone eager to contribute to a vibrant team environment and grow their office management expertise.

Duties

Greet patients, visitors and vendors warmly, ensuring a positive first impression at all times
Manage multi-line phone systems, answer inquiries professionally, and direct calls appropriately
Handle incoming and outgoing mail, packages, and deliveries with accuracy and timeliness
Maintain front desk area, ensuring it remains organized, clean, and welcoming
Support office management by scheduling appointments, managing appointment schedule, and coordinating meetings
Perform data entry tasks using Microsoft Office applications such as Word, Excel, and Google Workspace tools
Assist with clerical duties including filing, proofreading documents, and maintaining office supplies inventory
Manage administrative tasks such as typing correspondence, organizing files, and supporting personal assistant duties as needed
Strong organizational skills with the ability to prioritize tasks efficiently
Excellent computer literacy in Microsoft Office Suite (Word, Excel), Google Workspace (Docs, Sheets), and data entry systems
Proven office management experience with familiarity in clerical work and administrative support
Exceptional customer service skills coupled with professional phone etiquette on multi-line systems
Ability to handle phone reception confidently while maintaining a friendly demeanor
Attention to detail in proofreading documents and managing data entry accurately
Effective time management skills to juggle multiple responsibilities seamlessly

Pay: $29.00 - $34.00 per hour
