Position: Childcare Center Coordinator
Program: Early Childhood Development
Reports to: Early Childhood Development Director
Status: Full Time, 37.5 hours per week
Schedule: Monday through Friday
Hourly Wage: $29 - $31/hour
Incentive: Eligible for $1000 Sign-On Incentive (to be paid at 90 days and 6 months)
Job Function: To manage daily operations of the fee-for-service childcare center, including comprehensive programming, children, environment, and administration in accordance with agency and program policies, best practices, and NYS Office of Children and Families (OCFS) daycare regulations and standards. Position is a member of the Early Childhood Development (ECD) management team and is collaboratively supported by the broader CAPCO agency and ECD unit, including but not limited to ECD Director, Assistant Director, Fiscal Department, Human Resources, Enrollment Office, Family Services, Health Services, as well as Education/Special Needs coordination.
Essential Duties and Responsibilities include the following. Other duties may be assigned.
Implement and oversee all phases of CAPCO’s fee-for-service childcare center operations, leveraging support, guidance, and working collaboratively with broader Early Childhood Development program leadership as well as CAPCO administration.
Directly supervise childcare center staff, including but not limited to teaching staff, aides, support staff, interns, and volunteers.
- In collaboration with the enrollment office, ensure childcare slots are effectively filled with appropriate age group designations per classroom, and staff-to-child ratios are maintained.
- Maintain safe, supportive, stimulating, and child age-appropriate environment with welcoming appearance that is conducive for early childhood development and in compliance with all NYS regulations and agency policies & standards.
Establish and maintain effective communications with parents and families via established electronic application systems, daily conversations, phone calls, interviews, conferences and parent meetings.
Maintain full working knowledge of applicable regulatory requirements, including but not limited to NYS Office of Children & Families (OCFS) regulations, standards, and guidance, as well as agency policies and expectations.
Effectively promote a positive relationship with parents and families, appropriately addressing family needs and concerns in a timely manner and in accordance with program standards, policies, best practice expectations and in alignment with NYS day care and other regulations.
Responsible for maintaining inventory system for the center, including equipment, furniture, and supplies. Ensure adequate supplies are ordered, maintained, and tracked.
With fiscal and administrative support, responsible for overseeing the fiscal stability of the center by issuing and tracking weekly enrollment fees, billings and delinquent payments.
Maintain, track, and provide applicable program reports and fiscal information to appropriate administrative support personnel for the department as well as external stakeholders and partners, as applicable.
Evaluate and work with department’s Health Services functional area to ensure all health standards follow compliance standards, regulations, and internal processes.
- Work with the Education Coordinator to ensure communications of education services staff needs and services for facilitation of all aspects of the Education Services Functional Area.
Work with the Nutrition staff, including Manager, Cooks, and applicable personnel, to ensure child nutritional needs are adequately met and to safeguard compliance with CACFP standards. Work collaboratively to ensure food and food supplies are effectively maintained for the center.
- Ensure full implementation of all aspects of the applicable center curriculum. Organize and align multiple curriculums into unit lesson plans. Monitor supplies needed for proper curriculum implementation.
- Responsible for overseeing and providing ongoing coaching to teaching staff to support staff in successfully fulfilling all aspects of their role, including effective practices in the following:
o Teacher/Child interactions
o Curriculum Fidelity
o Evaluate Learning environments with assessment tool
o Child assessment
o Working with families
Assist staff use of the assessment tools and monitor use.
- Ability to analyze data to inform center operations as well as program instruction and development.
- Identify and utilize state, local, and other resources for collaborative program services.
Provide monthly observation documentation to Education Coordinator and applicable program leadership for each classroom.
Monitors individual child information, needs, educational support, and individualization.
Participate in multidisciplinary weekly meetings to discuss children and classroom concerns, including being an active member of the Pyramid Team.
Provide yearly evaluations to staff and ongoing monitoring of professional development goals.
- Provide classroom coverage and staffing support as needed to ensure continuity of services as well as appropriate classroom coverage for a safe operating environment.
Support classroom staff through individual and group meetings.
Work in collaboration with broader leadership team to identify training and professional development needs for staff at the center.
Oversee and ensure NYS OCFS licensing requirements are adequately completed, serving as listed director for the center for licensing purposes.
Attend required trainings and all requested staff or community meetings, representing the program and CAPCO in a collaborative and professional manner.
Must follow agency, NYS OCFS, and best practice procedures for reporting suspected child abuse and neglect, safety concerns, and applicable parent interactions.
Supervisory Responsibilities
Directly supervises fee-for-service childcare center staff. Carries out supervisory responsibilities in accordance with the agency's policies and applicable laws. Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding, counseling, and disciplining employees; addressing complaints and resolving problems.

Education and/or Experience
Bachelor’s degree (B.S./B.A.) from accredited four-year college or university in Early Childhood Education or similar degree track with at least 12-credits of Early Childhood Education or related course study; plus a minimum of one (1) year of teaching experience in early childhood and one (1) year of supervising staff in a childcare setting or related work. Fiscal management, administration, and leadership experience preferred; or other acceptable combination of education and experience.
Language Skills
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of clients or employees of agency.
Mathematical Skills
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
Reasoning Ability
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
Computer Skills
To perform this job successfully, an individual should have knowledge of Microsoft Office
(Word, Excel, etc.) and Outlook.
Certificates, Licenses, Registrations
NYS Driver's License. Clearance through the NYS OCFS background clearance maltreatment registry process. Must complete Day Care regulation trainings as required.
Other Qualifications
Initial Day Care Physical Exam and TB Testing. Must be able to travel to all sites, training, etc. as necessary and requested.
