Core Responsibilities & Framework
The Treatment Consultant ensures seamless coordination, helping patients value and accept exceptional care by fostering relationships built on integrity and trust. The Treatment Consultant bridges communication between the clinical team, the front office, the patient, and the referring provider. This role enhances the patient’s journey through personalized support, empathetic communication, and operational excellence, creating a cohesive experience that benefits the patient, the referrer, and the practice. In addition, the Treatment Consultant works with the clinical team to present clear, actionable treatment plans, and coordinate financial arrangements ensuring every patient understands the value of their care and is successfully scheduled to begin treatment. Throughout the day, the Treatment Consultant also supports the broader patient experience and practice operations through related administrative, coordination, and follow-up responsibilities as needed. Through these efforts, the Treatment Consultant drives exceptional outcomes and reinforces the practice’s reputation as a trusted leader in patient-centered care.
The following responsibilities outline the core activities and behaviors expected in this role. These day-to-day actions are designed to directly support the performance indicators and outcomes described above, ensuring alignment between patient care, team collaboration, and practice goals:
Patient Ownership of Oral Health
- Educate patients about their oral health and the consequences of delaying treatment.
- Explain treatment plans, procedures, and timelines in clear, patient-centric terms.
- Create a calming, welcoming environment that encourages patient confidence and trust.
Patient Affordability & Acceptance
- Present financial options and facilitate payment arrangements that align with the practice’s philosophy and patient needs.
- Educate patients about their insurance benefits, eligibility, and limitations to ensure clarity and confidence.
- Work closely with the front office team to ensure financial plans are clearly communicated, accurately documented, and effectively followed up on.
- This role may also support insurance verification and benefit coordination when needed to ensure accurate, timely communication with patients and continuity of care.
Patient Focused Collaboration
- Collaborate with the clinical team to present treatment plans in simple, understandable terms that resonate with patients.
- Use empathetic, clear communication to help patients see the value of treatment and overcome concerns or hesitations, focusing on achieving a high case acceptance rate.
- Actively follow up with patients who delay treatment, viewing these situations as opportunities for further engagement. When necessary, coordinate additional consultations with the clinical team or referring doctors to address patient concerns.
- Collaborate with the appropriate team members within the practice and, when necessary, with the referring doctor’s practice and their team to facilitate a seamless and exceptional patient experience. This ensures both the patient and the referring practice feel supported and aligned throughout the care journey.
- Obtain the patient’s permission to follow up on treatment plans to ensure continuity of care, effective communication, and progress toward completing their treatment goals.
Additional Patient Experience & Coordination Responsibilities
- Respond to and resolve patient inquiries related to treatment plans, insurance coverage, billing, and scheduling to support clarity and continuity of care.
- Assist with insurance verification and incorporate coverage, eligibility, and limitations into treatment plan presentations to ensure accurate and transparent financial discussions.
- Monitor outstanding insurance claims, assist in resolving denials or discrepancies, and help ensure timely reimbursement.
Success Indicators
To evaluate the success of the Treatment Consultant’s efforts, the practice will track key performance indicators, focusing on growth and outcomes that align with practice goals, including, but not limited to:
- Overall Case acceptance Rates (appointments kept, and follow through, and payment collected).
- Achievement of daily revenue targets based on both production and collections.
- Consistency, reliability, and quality of work are core expectations of this role. Candidates must demonstrate the ability to maintain steady performance, follow through on commitments, and execute responsibilities with accuracy and attention to detail on a daily basis.
Schedule/Office Hours
- Monday & Thursday: 8:00am - 4:30pm
- Tuesday & Wednesday: 8:00am - 5:00pm
- Every other Friday: 8:00am - 2:00pm

Collaboration
The Treatment Consultant plays a key role in ensuring smooth transitions and seamless coordination within the practice in collaboration with:
- Clinical Team: Ensures clarity in treatment plans and smooth transitions from clinical to consultation phases. Keeps clinicians informed on treatment acceptance or non-treatment decisions and strategizes on addressing delayed treatment. Works collaboratively with the clinical team to ensure any necessary follow-up actions related to treatment plans are identified and communicated effectively.
- Front Office Team: Aligns on financial arrangements, patient follow-ups, and scheduling. Ensures patients schedule their next appointments, either with the practice for follow-up care or with the referring practice for continuity of care, and that these appointments are appropriately tracked and confirmed.
- Referring Providers: Ensures that communication with referring doctors and their teams is complete, fostering continuity of care and maintaining trust.
Qualifications
Preferred Experience
- Experience in a dental or healthcare setting preferred
- Experience with dental or medical insurance verification, benefit coordination, or claims processing preferred
- Experience presenting treatment plans or guiding patients/clients through high-value decisions
- Experience in consultative roles or environments involving performance expectations is a plus
Required Qualifications
- Strong verbal communication skills with the ability to clearly and confidently present information to patients
- Demonstrated ability to follow through on tasks, manage responsibilities, and maintain consistency in a fast-paced environment
- Comfort discussing financial information and guiding patients through decision-making processes
