Scheduling & Dispatch Coordinator

Location: Huntington Beach
Department: Scheduling & Dispatch
Division: Operations
Reports To: Scheduling & Dispatch Manager
Last Revised: June 2026

Position Summary

The Scheduling & Dispatch Coordinator is responsible for creating and maintaining schedules to ensure efficient daily operations. This position coordinates technicians, communicates with customers, manages scheduling changes, and helps ensure exceptional customer service.

Responsibilities

Customer Communication

Answer high volumes of incoming phone calls, emails, and chats professionally and courteously.
Return missed calls promptly.
Provide exceptional customer service and maintain positive customer relationships.

Customer Management

Create new customer profiles in Housecall Pro using the Intake Form.
Maintain and update customer information in Housecall Pro.

Scheduling & Dispatch

Schedule jobs and estimates in Housecall Pro.
Book service appointments, preventative maintenance, and emergency calls.
Dispatch technicians based on location, availability, and skill set.
Adjust schedules as needed throughout the day.
Notify customers of appointment updates or schedule changes.

Customer Support

Resolve customer concerns with professionalism and empathy.
Troubleshoot basic service questions.
Ensure customer satisfaction throughout the service process.

Resource Management

Maintain the HOA key check-in/check-out log.
Manage the on-call schedule and make adjustments when necessary.

Technician Support

Review completed jobs with field technicians for accuracy and completeness.
Provide feedback and communicate scheduling updates as needed.

Reporting & Administrative Duties

Complete reports as assigned.
Follow up on past-due invoices.
Process customer credit card payments over the phone.

Qualifications

1–2 years of related scheduling, dispatching, or customer service experience.
Knowledge of general plumbing terminology preferred.
Excellent verbal and written communication skills.
Strong customer service skills with the ability to build positive relationships.
Professional and courteous phone etiquette.
Strong organizational, planning, and time management skills.
Excellent problem-solving and analytical abilities.
Ability to prioritize tasks and remain calm in a fast-paced environment.
Proficient with Google Workspace.
Experience with Housecall Pro is a plus.

Schedule

Monday–Friday
8:00 AM – 5:00 PM
One-hour lunch
