Full Job Description

Surgical Coordinator / Administrative Assistant

Grover Aesthetics, a premier aesthetic plastic surgery practice in Newport Beach, is seeking an exceptional Surgical Coordinator / Administrative Assistant to join our team.

We are looking for someone who is warm, polished, highly organized, detail-oriented, computer proficient, and genuinely enjoys helping people. This important patient-facing position requires excellent communication, meticulous follow-through, and the ability to manage multiple responsibilities in a busy aesthetic surgery practice.

Our goal is to provide every patient with an exceptional experience as we help them achieve their aesthetic goals.

Surgical Coordinator Responsibilities

· Schedule patients for surgery and coordinate surgical dates with the surgery center

· Coordinate with anesthesiologists and the surgical team

· Arrange and track required preoperative medical clearances

· Coordinate laboratory testing, EKGs, mammograms, and other required preoperative studies

· Follow up with physicians, laboratories, imaging centers, and patients to ensure all required documentation is received prior to surgery

· Obtain and track medical clearances, laboratory results, EKGs, mammogram reports, pathology reports, and other required records

· Prepare and organize surgical charts; file, scan, and upload documents into patient records

· Ensure surgical charts and required documentation are complete prior to surgery

· Communicate with patients regarding surgical scheduling and required preoperative documentation

· Coordinate closely with Grover Surgical Arts Surgery Center and the clinical team

· Assist with operating-room preparation and turnover between surgical cases as appropriate

Administrative Assistant Responsibilities

· Answer incoming telephone calls and respond to emails and patient inquiries

· Greet and room patients and assist with patient flow throughout the office

· Schedule, reschedule, and confirm appointments

· Check patients in and out and collect/process patient payments

· Maintain accurate patient information and assist with filing, scanning, and general office organization

· Help prepare and turn over examination rooms

· Maintain a clean, polished, organized, and welcoming office environment

· Provide additional administrative support to the physicians and practice team as needed

Qualifications

· Exceptionally organized and detail-oriented

· Friendly, professional, polished, compassionate, and comfortable interacting with patients throughout their aesthetic surgery journey

· Excellent verbal and written communication skills

· Able to manage multiple tasks and deadlines simultaneously; dependable and punctual

· Highly computer literate and proficient with Microsoft Word and Excel

· Comfortable learning and working with electronic medical record (EMR) systems

· Previous EMR, surgical coordination, plastic surgery, cosmetic medicine, medical-office, or ambulatory surgery center experience preferred

· College degree preferred

Schedule, Compensation & Benefits

· Full-time, in-person position; Monday through Friday

· Start time: 8:00 a.m. sharp; typical end time approximately 5:30-6:30 p.m., depending on practice and surgical needs

· Approximately 45-50 hours per week

· $20-$24 per hour, depending on qualifications and previous experience

· Overtime compensation in accordance with applicable California law

· Health benefits following successful completion of the initial 90-day introductory period

· Paid holidays following the initial 90-day introductory period

· Paid time off (PTO)

· Retirement benefits after the second year of employment
