Pay rate Range: $23hr- $29hr. Based on our Irvine, CA office location. (West Yost uses geographic salary differentials that would apply for candidates in other regions).

Schedule: Part-Time, approximately 32 hours per week in the office. This position is fully in-office; hybrid or remote work is NOT available.
Administrative Assistant – Part-Time (32 hours per week)
Position Summary
We're looking for a dependable, organized Administrative Assistant to provide part-time support to our Irvine office and team.
This is a great opportunity for someone who enjoys administrative work, takes pride in creating a welcoming and well-run office, and is comfortable taking initiative and working independently.
You'll be based in Irvine and work closely with an administrative team located across multiple offices. Because your manager is based in Northern California, proactive communication and collaboration with teammates in other locations will be important.
This role may be especially appealing to someone looking for meaningful part-time work with a predictable but flexible schedule.
What You'll Do
- Help keep the Irvine office organized, welcoming, stocked, and running smoothly.
- Provide day-to-day administrative support to team members.
- Coordinate meetings, lunches, office events, conference rooms, and meeting spaces.
- Order and maintain office and kitchen supplies.
- Receive and distribute mail and packages.
- Assist with document preparation, formatting, scanning, filing, and organization.
- Coordinate with vendors and building contacts.
- Support onboarding and welcoming new team members.
- Assist with travel arrangements, expense reports, and occasional company initiatives.
- Notice what needs attention, take initiative, and help solve day-to-day office needs.
- Collaborate with administrative teammates in other offices and provide support across the team when needed.
- Participate in occasional company and administrative team events, including a few offsite or weekend events each year.
What We're Looking For
We're more interested in finding the right person for the team than in a specific number of years of experience.
The ideal candidate:
- Has 4+ years of administrative, office, customer service, hospitality, or similar experience.
- Is dependable, organized, and attentive to detail.
- Follows through and can manage several priorities at once.
- Works comfortably and independently without constant direction.
- Uses good judgment and knows when to make a decision or ask a question.
- Communicates clearly and proactively, especially with a manager and teammates working remotely.
- Enjoys helping others and building positive working relationships.
- Is comfortable learning new technology and office systems.
- Has working knowledge of Microsoft Office.
- Is willing and able to attend occasional offsite and weekend events throughout the year.

- You independently handle routine responsibilities and notice needs before someone has to ask.

- You build strong relationships with the people you support and look for simple ways to make things easier or better.
Schedule
We anticipate approximately 25-32 hours per week, worked in the Irvine office. We have flexibility in establishing the regular schedule and would like to find an arrangement that works well for both the team member and the Irvine team.
Consistency in weekly office coverage is important, while still allowing more scheduling flexibility than a traditional full-time administrative position.
This is an in-office position and is not eligible for a hybrid or remote work schedule.
A few times each year, participation in offsite company or administrative team events may be required, including occasional weekend events. Advance notice will be provided whenever possible.
