Full Job Description

Accounts Payable Specialist

The organization is seeking a highly qualified Accounts Payable Specialist to support the daily operations of the finance and fiduciary teams. The successful candidate will demonstrate the ability to perform effectively in a fast-paced, high-volume environment and will possess strong analytical, organizational, and problem-solving skills. This role requires exceptional attention to detail, sound judgment, advanced computer proficiency, and the ability to manage multiple priorities while collaborating with departments and business entities.

This is an in-office position scheduled for 37.5 hours per week. The position offers two weeks of starting vacation and 13 paid holidays.

Responsibilities

Receive and distribute incoming invoices and related documents for approval
Perform full-cycle accounts payable transactions to ensure accurate and timely payment processing
Receive, allocate, and enter high-volume invoices across multiple facilities
Obtain appropriate verification and approvals for invoices before posting
Prepare and process invoices in MIP and Exact software accurately and on time
Prepare and process weekly vendor payments
Review and verify vendor statements as needed
Establish new vendors in accordance with company policies
Manage W-9 documentation and 1099 reporting
Manage and reconcile multiple credit card accounts
File, organize, and maintain physical and electronic records to ensure accuracy and ease of retrieval
Participate in month-end close activities, including preparation of journal entries and reconciliation of accounts
Perform routine clerical accounting duties within a fast-paced finance department while adhering to established standards
Assist with year-end audit requests

Work Environment
This position operates primarily in a professional office environment and requires extensive computer use. Workload demands may fluctuate throughout the month, quarter, and year, particularly during month-end closing, year-end reporting, audit periods, tax reporting deadlines, and periods of increased business activity. The successful candidate must be able to effectively manage competing priorities, maintain accuracy under pressure, and adapt to changing business needs.

Required Skills and Qualifications

Strong understanding of accounts payable processes and basic accounting principles
Demonstrated organizational skills and strong attention to detail
Exercise discretion when handling sensitive information and financial data
Familiarity with paperless accounting environments
Proficiency with standard business applications, particularly Microsoft Excel and Google Workspace
Must have a valid driver’s license
Must pass a criminal background check and pre-placement physical
Associate degree in Accounting, Finance, Business Administration, or a related field
Three to four years of clerical accounting experience

Physical Requirements

Ability to sit for extended periods while working at a computer workstation
Frequent use of hands and fingers for keyboarding, data entry, and operation of office equipment
Ability to occasionally bend, reach, squat, and lift 40 pounds
Specific vision abilities include close vision, depth perception, and the ability to adjust focus
Ability to maintain regular and reliable attendance
Ability to perform the essential functions of the position with or without reasonable accommodation

Pay Range
