Full Job Description

POSITION SUMMARY

Under general supervision, the Receptionist is responsible for being the primary point of contact for the Yurok Indian Housing Authority by welcoming visitors, answering and directing phone calls, and providing information regarding current housing programs and services. This position supports operations by preforming administrative tasks, coordinating communications, assisting with document processing, assisting staff and ensuring office areas remains professional, organized, and clean.

DUTIES AND RESPONSIBILITIES

· Greet visitors, ascertain nature of business; answer general questions; route visitors to appropriate staff person for further information or contact.

· Manage multi-line telephone; give general information to callers, log and route calls to appropriate staff person.

· Maintain front reception area, front office work area, kitchen/break area, conference room, bathrooms and bulletin/information boards.

· Collect, stamp, and log incoming mail including but not limited to: hand-delivered mail, inter-office mail and faxes; deliver to the Supervisor for distribution.

· Collect, prepare, stamp, log outgoing mail, and deliver to the mailbox for postal carrier pick up.

· Deliver and/or pick up articles from post office and tribal office as needed.

· Refer all calls and questions to appropriate department.

· Type correspondence, forms, reports and other materials from rough drafts received from Housing Authority Executive Director.

· Take and follow up on messages for staff and/or clients.

· Assist in the preparation, compilation, copying, posting, faxing and mailing or delivery of meeting notices for Board of Commissioners meetings and any other training or meeting to meet the needs of the housing authority.

· Assist in the coordination, preparation and set up of all meetings and trainings.

· Ensure proper maintenance as it relates to the warranty on all office equipment.

· Schedules service for office equipment as necessary; maintains record of service dates.

· Responsible for stocking of all front office equipment and supplies.

· Assist with ordering of office supplies.

· Assist staff to assemble housing application and/or employment packets for distribution.

· Make copies of correspondence and other records.

· Attend job-related training as required.

· Preforms other duties as assigned.

KWOWLEDGE, SKILLS AND ABILITIES

· Ability to read and understand correspondence, governmental regulations, loan documents and related material, ordinances, resolutions, operating and maintenance instructions, and procedure manuals.

· Ability to speak effectively, present information, and respond to questions from clients, customers, and the general public.

· The ability to speak effectively before groups is highly desirable.

· Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals; Ability to compute rate, ratio, and percentage.

· Intermediate to advance skills with the use of computers, including working knowledge of Windows and Microsoft Office (or other major suite software applications or tenant software).

MINIMUM QUALIFICATIONS

High School diploma or GED. At least one (1) year of working experience in an administration position or office environment or any combination education and experience that will allow the incumbent to successfully perform the assigned duties.

1. Must have a valid state driver license.

2. Must be eligible to be insurable under YIHA vehicle policy insurance

3. Must pass a comprehensive background

This is not s supervisory position.

THE YUROK INDIAN HOUSING AUTHORITY IS A DRUG AND ALCOHOL FREE WORKPLACE. DRUG SCREENING WITH A NEGATIVE RESULT IS REQUIRED BEFORE BEGINNING EMPLOYMENT

All new employees will serve a six-month initiation period to enable the Executive Director to determine their suitability as an YHIA employee. After the six-month initiation period, the employee will be evaluated on his/her performance and at that time it will be decided if the employee is entitled to Full-time Regular Status.

Pay: $20.67 - $26.97 per hour
