Full Job Description

IACUC Coordinator II

The IACUC Coordinator will provide technical and administrative support for the White Oak Animal Program (WOAP) IACUC, who is responsible for the oversight and evaluation of the WOAP, including regular inspection of the facility and animal use areas supported by animal husbandry unit staff. The IACUC Coordinator will provide technical administrative services to support the animal facility associated with the WOAP and Life Sciences Building:

Work with investigators to prepare new and amended animal study proposals for consideration and approval by the IACUC, including obtaining all required signatures.
Coordinate the entire protocol pre-review process necessitating ongoing interactions with veterinarians, principal investigators (PI)’s, Health and Safety, IACUC members, and the IACUC Chair.
Address questions from committee members during IACUC meetings in regards to the Animal Welfare Act and Regulations, Public Health Service (PHS) Policy, the Institute for Laboratory Animal Research Guide for the Care and Use of Laboratory Animals, as well as current White Oak Animal Program guidelines, policies, and standards. Document at least a quorum at each meeting to ensure meeting composition is in compliance with all regulations.
Summarize all committee deliberations and put into appropriate format to request needed information from PI’s.
Prepare memos to PI’s for the IACUC Chair, which includes, but is not limited to, ACUC actions regarding their study proposals, annual review and renewal notices.
Follow up on all requested information to ensure it is received and that official files are accurate and up to date.
Maintain documentation of all memos to records regarding animal welfare/compliance investigations.
Meet with the facility Veterinarian, Animal Program Director, and IACUC Chair to discuss any issues of concern and/or possible compliance problems.
Develop and maintain current records and filing systems containing active animal study proposals, active PI and support staff listings, and animal usage information.
Register all animal users in appropriate training courses, ensure participants’ compliance with required and elective animal care and use training requirements, and maintain computerized records of attendance by all persons participating in the WOAP.
Compile all approved procedures and policies relative to the animal care and use program as well as all key program reports such as the semi-annual report. Prepare and continually update the Association for the Assessment and Accreditation of Laboratory Animal Care International (AAALACi) Program Description, Office of Laboratory Animal Welfare (OLAW) Assurance, and U.S. Department of Agriculture (USDA) reports for the WOAP. Shall be responsible for the preparation of documents and reports for AAALACi, OLAW, and USDA.
Assist investigators with obtaining and processing required material transfer agreements and animal transfer agreements.
Organize and present the ACUC orientation for new IACUC members.
Develop and review Standard Operating Procedures (SOP’s) appropriate to the IACUC process. Attend meetings and training, as required, to remain cognizant of the latest regulations and policies involving IACUC operations.
Assist in developing and updating the WOAP web page.
Coordinate the semi-annual review of the animal care program. Assign sections to reviewers and assist, as needed.
Arrange and conduct site visits of all animal facilities and laboratory areas to ensure compliance with the ILAR Guide for the Care and Use of Laboratory Animals, WOAP Policy, and WOAP approved protocols.
This position shall report directly to the DVS IACUC Administrator and WOAP Contract Office Representative.

Additional Duties:

a) Compile the monthly meeting packet for distribution to the IACUC.

b) Prepare and distribute monthly IACUC meeting minutes/deliberations.

c) Update and maintain paper and electronic record storage and filing systems

d) Manage reporting and other correspondence with USDA, OLAW, and AAALACi.

e) Prepare new or update existing policies and procedures appropriate to the IACUC process,

SKILLS/KNOWLEDGE:

1. High School diploma or GED, B.S. preferred

2. Literate in written and spoken English

3. Must be CPIA credentialed or eligible for CPIA credentials have a minimum of 3 years’ experience in an animal facility with knowledge of GLPs and regulatory compliance.

4. Knowledgeable in PC applications including word processing, and spreadsheets.
