Job Overview

We are seeking a dynamic and highly organized Dual Sales Coordinator to join our team! This energetic role combines sales support with administrative excellence, ensuring seamless communication between clients and the sales team while managing vital office functions. Responsibilities

Serve as the primary point of contact for clients, vendors, and internal teams via multi-line phone systems, ensuring prompt and courteous communication.
Assist the sales team by managing client inquiries, scheduling appointments, and maintaining detailed records of interactions using Microsoft Office tools.
Handle front desk duties including greeting visitors, managing incoming calls, and directing them appropriately to ensure a positive first impression.
Maintain accurate data entry records related to sales transactions, client information, and office documentation using QuickBooks and other bookkeeping software.
Organize and manage office supplies, filing systems, and confidential information with meticulous attention to detail.
Support office management tasks such as calendar management, appointment scheduling, proofreading documents, and coordinating meetings.
Provide exceptional customer support by addressing client needs promptly, handling inquiries with professionalism, and ensuring overall client satisfaction.

Qualifications

Previous hotel sales experience preferred, with Hilton or Marriott
Proven experience in office management or administrative roles with a strong background in clerical tasks and data entry.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) along with computer literacy skills essential for daily operations.
Experience using QuickBooks or similar bookkeeping software is highly desirable.
Bilingual abilities are a plus to effectively communicate with diverse clients and team members.
Excellent organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment.
Strong phone etiquette skills combined with experience managing multi-line phone systems and providing superior customer service.
Demonstrated ability to handle confidential information responsibly while maintaining professionalism at all times.
Personal assistant or calendar management experience is beneficial for supporting executive schedules.
Exceptional proofreading, typing speed, and time management skills to ensure accuracy and efficiency in all tasks.
