Full Job Description

The Gilchrist Law Firm, P.A. provides strategic legal counsel to businesses, investors, and professionals facing complex legal and operational challenges. The Administrative Legal Assistant will provide administrative, logistical, and case-related support for fact witnesses before, during, and after trials, grand jury proceedings, court appearances, and pretrial conferences. This position works closely with fact witnesses, Assistant United States Attorneys (AUSAs), court personnel, investigative agencies, and other government partners to coordinate witness appearances, travel, lodging, reimbursements, and required documentation. The successful candidate must demonstrate strong communication, organization, data-management, and customer-service skills while handling sensitive information and multiple deadlines.

Responsibilities

Communicate directly with fact witnesses regarding court appearances, pretrial conferences, grand jury proceedings, travel arrangements, lodging, and reimbursement requirements.
Provide administrative and logistical support to fact witnesses before, during, and after trial.
Receive visitors, answer telephone calls, and respond to witness questions concerning appearances, travel, and expense reimbursements.
Obtain and maintain the information and documentation necessary to coordinate witness travel and process reimbursements.
Notify witnesses of appearance dates and times, travel arrangements, and documentation requirements.
Identify special witness circumstances or needs and promptly notify the appropriate AUSA.
Coordinate with AUSAs regarding special authorizations, international witnesses, military or federal employee witnesses, hostile witnesses, and other unusual circumstances.
Prepare and submit documentation for special authorizations and obtain required approvals before making travel arrangements.
Arrange witness transportation and lodging in accordance with Department of Justice and USAO policies and procedures.
Prepare witness vouchers and other reimbursement documentation and respond to inquiries regarding pending or completed payments.
Gather supporting documentation and reconcile Government Travel Accounts.
Coordinate with courts, Probation, Pretrial Services, the U.S. Marshals Service, investigative agencies, and other government partners as needed.
Prepare recurring documents and correspondence using established templates, proper formatting, legal terminology, and applicable procedures.
Establish and maintain witness files, records, calendars, documents, and databases in accordance with DOJ requirements.
Track hearings, trials, grand jury proceedings, scheduling conferences, and other witness-related appearances.
Enter, retrieve, review, and update information in databases and case-management systems.
Prepare and format correspondence, status reports, and management reports using word-processing and database software.
Review information from multiple sources, verify its accuracy, and perform calculations necessary to process travel and reimbursement data.
Respond to authorized inquiries regarding case-related information and the status of witness matters.
Obtain additional information from government agencies and other organizations when required.
Perform additional administrative and logistical witness-management duties as assigned.

Required Qualifications

High school diploma or equivalent.
Strong written and verbal communication skills.
Experience providing administrative support, word processing, and data entry and retrieval.
Ability to establish and maintain organized case, project, or administrative files.
Ability to enter, retrieve, review, and update information in databases.
Proficiency in preparing and correcting reports and correspondence using word-processing software.
Ability to review and analyze information obtained from multiple sources.
Ability to prepare and format management reports.
Ability to manage calendars, schedule appointments, and track multiple deadlines and appearances.
Ability to respond professionally to questions from witnesses, government personnel, and outside organizations.
Strong attention to detail and ability to verify information for accuracy.
Ability to handle sensitive information with professionalism, discretion, and confidentiality.
Ability to work effectively with attorneys, witnesses, court personnel, law-enforcement agencies, and government partners.

Preferred Qualifications

Undergraduate degree.
Previous experience in a legal, court, law-enforcement, government, travel-coordination, or witness-support environment.
Familiarity with legal terminology, court procedures, witness vouchers, or government travel requirements.
Experience maintaining case-related databases, calendars, or records.
Proficiency with Microsoft Word, Excel, Outlook, and related office applications.
