Job Summary
Weber Glass, Inc. is seeking an experienced Executive Administrative Assistant to become a key member of our commercial construction team. This position plays a vital role in supporting company ownership, project management, operations, and field personnel by ensuring construction projects and office operations run efficiently.

We are looking for a highly organized, detail-oriented professional with proven experience in commercial construction administration. The ideal candidate is confident managing contracts, project documentation, executive support, and multiple priorities in a fast-paced environment.

PLEASE NOTE: Previous experience working in a commercial construction office is required. Applicants without construction administrative experience will not be considered.

Position Details

· Full-Time (Approx. 40 hours/week)

Primary Responsibilities

· Prepare and manage construction proposals

· Process construction contracts

· Prepare Notice to Owners (NTOs)

· Maintain Certificates of Insurance (COIs)

· Prepare Bond Applications

· Process Purchase Orders

· Process Change Orders

· Prepare Pay Applications

· Track contract documentation and project files

· Provide executive administrative support to company ownership

Additional Responsibilities

· Support Operations, Project Management, Accounting, and Safety departments

· Coordinate office purchasing and inventory

· Arrange employee travel, hotels, and per diem

· Track employee certifications

· Manage insurance documentation

· Coordinate IT and office vendors

· Manage onboarding paperwork

· Assist with company Facebook page

· Coordinate employee events

· Maintain organized office records

Qualifications

· Minimum 3 years of Executive Administrative Assistant or Construction Administrative Assistant experience

· Commercial construction office experience required

· Strong understanding of construction contracts and project documentation

· Excellent Microsoft Office skills

· Strong organizational, communication, and time-management skills

· Professional demeanor and ability to maintain confidentiality
