We are seeking a Client Relations & Concierge Services Lead to be the face of our luxury practice, ensuring an exceptional patient journey while managing front desk operations and social media engagement. This role is ideal for a professional with a passion for aesthetics, customer service, sales, and brand representation.

Position Overview

The Client Relations & Concierge Services Lead is responsible for overseeing patient interactions, front desk operations, and marketing support. This role plays a vital part in patient retention, satisfaction, and brand presence, ensuring a seamless, high-touch experience from the first inquiry to post-treatment follow-up.

Key Responsibilities

Client Relations & Concierge Services

Serve as the first point of contact, delivering a warm and professional experience for every patient.
Provide concierge-style service by anticipating client needs, answering inquiries, and making personalized recommendations.
Manage patient scheduling, follow-ups, and appointment reminders to ensure efficiency. Educate clients on services, promotions, and financing options while maintaining integrity and trust.
Address and resolve patient concerns with professionalism, ensuring high levels of satisfaction and retention.
Maintain strict confidentiality and professionalism in handling patient records and communications.

Front Desk Operations

Oversee all front desk functions, including check-in, check-out, and payment processing. Maintain a polished, welcoming front-office environment that reflects the luxury and professionalism of the brand.
Ensure all client paperwork, consent forms, and pre-treatment preparations are handled efficiently.
Communicate effectively with providers to streamline daily workflow. Marketing & Social Media Support
Lead social media engagement by capturing content (with consent), engaging with followers, and sharing updates.
Manage client outreach, including appointment reminders, thank-you messages, and post treatment check-ins.
Stay informed on industry trends, treatment updates, and in-clinic promotions to enhance brand visibility.
Assist in planning and executing VIP events, open houses, and patient appreciation initiatives.

Performance & Reporting

Track patient satisfaction, retention rates, and revenue-related KPIs.
Provide insights on client feedback and recommend service improvements. Assist in refining internal processes to continually elevate the patient experience.

Qualifications & Skills

Exceptional interpersonal and communication skills – polished, professional, and personable.
Strong customer service and sales abilities with a focus on luxury client care. Highly organized and detail-oriented, with the ability to multitask in a fast-paced environment.
Social media savvy, with experience in brand engagement and content creation preferred. Comfortable with point-of-sale transactions and patient record management. Passion for aesthetics, wellness, and the luxury service industry.
Prior experience in a medical spa, aesthetics practice, or high-end hospitality setting is a plus.
