Operations Coordinator – Marketing & Design Agency

Location: Wesley Chapel, Florida
Schedule: Monday–Friday, 8:00 AM–5:00 PM
Position Type: Full-Time, In-Office

42nd Street Designs Inc. is a full-service design, branding, website, and marketing firm serving businesses throughout Florida and Tennessee. We work with a variety of clients to help them build and grow their brands through professional design, website development, digital marketing, social media, and ongoing creative services.

We are a fast-paced, team-oriented company that values great communication, organization, customer service, creativity, and getting things done.

We are looking for a dependable and highly organized Operations Coordinator to join our Wesley Chapel, Florida office. This person will help manage the day-to-day flow of the office, communicate with clients, coordinate work between team members, assist with billing and administrative tasks, and help make sure projects continue moving forward.

This is an in-office position Monday through Friday from 8:00 AM to 5:00 PM.

Position Overview

The Operations Coordinator will serve as an important connection between our clients, designers, developers, marketing team, and company leadership.

The right candidate will be comfortable handling multiple responsibilities throughout the day, communicating professionally with customers, staying organized, following up on tasks, and helping team members get the information and resources they need to complete projects.

This position is ideal for someone who enjoys being busy, solving problems, helping people, and keeping an office organized.

Responsibilities

Answer incoming company phone calls professionally.
Assist clients with basic questions and requests.
Take accurate messages and make sure they reach the appropriate team member.
Check company emails throughout the day and respond or route messages as needed.
Respond to company text messages, social media messages, and direct messages.
Maintain professional and friendly communication with clients.
Keep client folders and company files organized within Google Drive.
Create, assign, update, and follow up on tasks within our project management system.
Help make sure designers, developers, and marketing team members have the information they need to complete projects.
Communicate project updates and client requests to the appropriate team members.
Process customer payments through our payment portal.
Create and send customer invoices.
Assist with payment and invoice follow-up when needed.
Schedule approved social media content across client platforms, including Facebook, Instagram, LinkedIn, TikTok, and YouTube.
Help maintain organized employee and HR files.
Assist with general office organization and administrative duties.
Attend local networking groups or business events on behalf of the company when needed. These events will normally take place during business hours.
Represent the company professionally when interacting with clients, vendors, networking groups, and community members.
Run occasional local errands for office supplies or other company needs.
Assist company leadership with additional operational tasks as needed.

Required Qualifications

High school diploma or equivalent is required.
Minimum of 1 year of customer service experience is required.
Strong verbal and written communication skills.
Highly organized and detail-oriented.
Dependable and punctual.
Friendly and confident when speaking with customers.
Comfortable answering phones and handling customer questions.
Able to manage multiple tasks and priorities throughout the day.
Comfortable working with computers and learning new software.
Comfortable using Google Workspace, including Gmail, Google Drive, Google Docs, and Google Sheets.
Comfortable working with project management software.
Comfortable processing payments and working with invoices.
Familiar with major social media platforms, including Facebook, Instagram, LinkedIn, TikTok, and YouTube.
Able to communicate clearly with designers, developers, marketers, clients, and management.
Able to work independently while also being a strong team player.
Willing to take initiative and solve problems rather than waiting to be told every next step.
Able to maintain confidentiality when working with customer, employee, billing, and HR information.
Professional in appearance and conduct when representing the company.

Preferred Qualifications

College degree in business, marketing, communications, or a related field is a plus.
Experience in office administration, operations coordination, or project coordination.
Experience working in a marketing, design, advertising, or website development agency.
Experience scheduling or managing social media content.
Experience with billing, invoicing, or payment processing.
Experience as an administrative or executive assistant.

Previous agency experience is helpful but not required for the right candidate.

Additional Requirements

Must be able to work in person at our Wesley Chapel, Florida office Monday through Friday from 8:00 AM–5:00 PM.
Must have reliable transportation.
Must be able to attend occasional local networking events during normal business hours.
Must be able to run occasional local office errands when needed.
Must be comfortable working in a fast-paced environment where priorities may change throughout the day.

A successful Operations Coordinator will help keep the company organized and projects moving forward. Clients should feel that their questions and requests are being handled professionally, and our internal team should be able to rely on this person for accurate information, organized files, clear tasks, and consistent follow-up.

We are looking for someone who takes ownership of their responsibilities, communicates well, notices when something needs attention, and enjoys helping a team stay organized and productive.
